Move Crew

Signup Information

First-year student move in, one of Vanderbilt’s proudest traditions, is scheduled for Saturday, August 17.  All continuing upper-division students are invited to participate by joining the Move Crew, which assists our first-year students and their families by unloading their vehicles and moving items into their houses on the Ingram Commons.  Student participation is critical to the overall success of this event.  Move Crew signup is available in the Housing Portal on April 17 and due by July 15 at 5 p.m.  All students who sign up will be assigned as a member of the Move Crew.  We make every effort to assign students to their first-year house.

Early Move-In Date/Time

Move Crew participants are eligible to move into their residence halls as early as Thursday, August 15 at 8 a.m.

Training & Time Commitment

Move Crew training will take place on Friday, August 16 at 4 p.m. on the Ingram Commons.  Additional training information will be emailed to students in early August.  All Move Crew members are required to participate fully in first-year student move in, which includes swiping in at your assigned house by 7 a.m. on Saturday, August 17 and swiping out upon release by your House Manager once all students are moved in.  Move in typically concludes around 12 p.m.

  • Students who sign up and fully participate in Move Crew will be entered to win one of ten grand prizes:
    • Five (5) students will receive priority in the 2025-2026 housing assignment process. Please see specific details in the guidelines below.
    • Five (5) students will receive $250 in Commodore Cash

Grand Prize Priority Guidelines

Eligibility:

  1. Sign up for Move Crew in the Housing Portal no later than July 15 at 5 p.m. CDT.
  2. Participate fully in first-year student move in by swiping in at your assigned house by Saturday, August 17 at 7 a.m. and out upon release by your House Manager.
  3. Register for the 2025-2026 housing assignment process by the advertised deadlines (anticipated early January 2025 – specific dates TBA in late fall 2024).

Options for 2025-2026 4th-Year Students or Greater (2024-2025 3rd-Year Students)

  • Choice of:
    • Off-campus authorization for you, or you and up to two other rising 4th-year student friends
    • Choice of on-campus building/room type for you, or you and up to five other continuing upper-division students of your choice if you opt for group living (one double, one suite, or one apartment), or you and up to three other continuing upper-division students of your choice if you opt for single rooms.
      • If you apply for and are selected for a Mayfield lodge, your group will receive first choice of lodge.
      • If you apply for and are selected for residency in McGill, you will receive priority to select your room during room selection.

Options for 2025-2026 3rd-Year Students or Greater (2024-2025 2nd-Year Students)

  • Choice of on-campus building/room type for you, or you and up to five other continuing upper-division students of your choice if you opt for group living (one double or one apartment), or you and up to three other continuing upper-division students of your choice if you opt for single rooms.
    • If you apply for and are selected for a Mayfield lodge, your group will receive first choice of lodge.
    • If you apply for and are selected for residency in McGill, you will receive priority to select your room during room selection.

Please note the following:

  1. Housing and Residential Experience reserves the right to determine specific room placement.
  2. Head Resident and Resident Adviser hires are not eligible to participate in Move Crew and will be assigned to specific roles by Residential Experience.
  3. Requests for ADA specific rooms will not be considered unless a student has an accommodation determination for such a space from Student Access (SA).
  4. Fall 2025 incoming transfer students are not eligible to be requested as roommates.
