March 12, 2020 – Update

As we gather more information and updates we are committed to providing you with information as soon as possible. Below you will find information for both students who are packing and preparing to depart and students who have already departed campus. We will be sending daily updates to help assist you through this transition. Today’s updates are as follows:

I am packing up and planning to depart campus. What options do I have for packing or storing my belongings?

  • We will have a limited supply of free boxes and tape for student use in Kissam Student Center, E. Bronson Ingram College, Towers East, Branscomb Quad, Blakemore, Lewis, McGill, Tolman, Stambaugh, East, and Hank Ingram.
  • UPS staff will be set up in the Branscomb Quad Lobby and Stambaugh 10am-6pm through Sunday, March 15. Additional locations are TBD. UPS provides shipping and storage services at the student’s expense.
  • If you would like to use UPS you must follow the directions below:
    • Meet with a UPS representative
    • Box up items
    • Seal with tape
    • Label with: name, phone number, email, and UPS SHIP OR UPS STORE and leave the boxes in your room
    • UPS will then follow up with the contact info on the box to gather payment and shipping address information

  • If you prefer to use the United State Postal Service, the campus mail room in Rand will be open on Saturday, March 14, and Sunday, March 15, from 8:00am to 4:00 pm. They will have boxes and tape for sale.
  • If you do not wish to use either UPS or USPS, then box up your belongings, seal them and label the boxes with your name, phone number, email and, in capital letters, CAMPUS STORAGE.  These items will NOT be available until the opening of the residence halls in the fall (Sunday, August 23). Pickup instructions will be provided later in the summer.
    • If you are a graduating senior, please mark your box “CAMPUS STORAGE – GRADUATING SENIOR“.
  • We will NOT be accepting any donations. Anything left in the hallways or rooms without a name will be removed. 
  • As you depart, leave your room key in the designated key deposit box in your main area lobby.
    • There will be key envelopes for you to label with your VUnetID and room number.
    •  Please do NOT lick the envelope closures.

I have already departed campus and still have items in my room. What should I do?

We realize that you may have concerns about the items you have left behind. We will work with you to claim your items while minimizing any additional burden.

  • If you wish to return to campus and collect your belongings, you are welcome to do so between now and May 9. Please contact OHARE to set up a time to pick up your items.
  • We will begin cleaning and sanitizing buildings after March 15 as well as consolidating remaining students into other buildings.  The cleaning schedule has not been determined at this time.  As a consequence, you will have to consult with OHARE about returning to campus to pick up your belongings.
  • We understand that for many students this is not feasible given distance or expense. OHARE staff would be happy to box your belongings and ship them to you at your expense or store them for you until the fall semester; you are not expected to return to campus if you cannot do so. Students will be responsible for any costs associated with the packing and shipping. It may be a number of weeks before staff can pack and ship items, so please be patient with us–information will be provided as it is available.

I cannot depart by Sunday, March 15. What should I do?

If you can’t leave on Sunday, you will not be forced to vacate. While additional planning is occurring, we will work with students with special circumstances.

  • International students with travel or visa issues may remain in their residence halls after March 15. Please be sure to consult with ISSS about your plans.
  • Student actively in engaged in the Peabody student teaching SPED and Teaching & Learning programs may remain after March 15.
  • Student athletes currently in competition may remain after March 15.
  • Students who cannot make travel arrangements by March 15.
  • Students with other special circumstances may be permitted to stay beyond March 15. These exceptions will be reviewed and determined on a case by case basis.
