Room Change and Vacancy Pull-Ins for Continuing Upper-Division Students (Prior to Fall 2022 Move In)
General Information
The Room Change and Vacancy Pull-In Request will be available to all assigned continuing upper-division students in the Housing Portal beginning May 16. Requests should be submitted no later than June 30 for consideration. Students will be contacted no later than July 31 regarding the status of their requests.
Currently unassigned students are eligible to fill vacancies in a friend’s double, suite, apartment, or lodge and should review the Vacancy Pull-In Information section below for instruction.
Room changes are processed when spaces come available due to housing cancellations (fall study abroad, leaves of absence, students transferring to another institution, etc.). It is not uncommon for many of these cancellations to come in mid- to late July.
OHARE anticipates high demand for residential college spaces and extremely limited availability. Available spaces will be assigned utilizing seniority and random selection.
IMPORTANT: Any student who is offered and accepts an assignment to a residential college for the 2022-2023 academic year will be charged the residential college experience fee ($397/semester). In addition, 2022-2023 residential college residents will not have returning resident priority for the 2023-2024 academic year.
Room Change Information
Students requesting a room change should submit the Room Change and Vacancy Pull-In Request in the Housing Portal by June 30.
Room changes will be processed pending space availability and are not guaranteed. Room change requests are processed utilizing seniority and random selection. Students will be contacted no later July 31 regarding the status of their request. Requests will be processed on a rolling basis as space comes available therefore students interested in a room change are encouraged to submit their requests as soon as possible. Students are not obligated to accept an offered room change.
Vacancy Pull-In Information
Students residing in group living (doubles, suites, apartments, and lodges) are welcome to pull in other continuing upper-division students of their choice to fill any vacancies that may result from original occupants transferring, taking a leave of absence, studying abroad, or completing an out-of-town internship.
Students interested in moving to a vacancy in a friend’s double, suite, apartment, or lodge must submit the Room Change and Vacancy Pull-In Request in the Housing Portal by July 15. If you are currently an unassigned student and requesting to fill a vacancy in a friend’s space, please email OHARE directly (ohare@vanderbilt.edu).
All students currently residing in the double, suite, apartment, or lodge who will occupy the space for the fall 2022 semester must also email OHARE (ohare@vanderbilt.edu) to confirm the student/s requesting to be pulled in by July 31. The student/s departing the space and creating the vacancy/vacancies should NOT send an email confirmation.
Once all requests/emails are received (from both the student/students filling the vacancy/vacancies, and all fall 2022 occupants), the Office of Housing Assignments will process the request and students will receive a confirmation email.
