Pair Appointment Updates
Pair Appointments have always been a great way for clients to learn alongside a friend, and we’re excited to streamline the process so that it’s easier and clearer for both our clients and our tutors.
We are making an important update to how Pair Appointments are scheduled and communicated. A Pair Appointment is when one STEM tutor meets with a registered client and a friend of that client for tutoring support in the same enrolled course.
Here’s what’s changing, starting Monday, October 1:
1. The New Pair Appointment Process
Please follow this new simple process when reserving your tutoring session.
- First, we have included a new feature in the appointment window which creates a Yes/No checkbox to indicate that the reserved session will be a Pair Appointment.
- Second, a separate box to enter your friend’s email address is still in the appointment window. Please continue to enter the Vanderbilt email address of your friend in this space for the pair appointment.
- Third, the registered client must forward the confirmation email from our system to the accompanying friend in the pair appointment.
- Finally, to be sure that you have selected a pair appointment, you should see the confirmed session saved in our online schedule as a green color for that appointment hour.
2. What’s changing? No more separate form and automated “pair appointment” notifications
We are transitioning away from the Redcap notification system. You will no longer be required to fill out the redcap form titled: “Complete the Pair Appointment Request Form”.
Secondly, because of this transition away, our system will no longer send appointment confirmations to the friend in your pair appointment.
This means that, when the registered client receives the appointment confirmation email from our system, it is up to you to communicate that confirmation information to your friend joining for the pair appointment.
