Systems

  • eBuilder

Vanderbilt Built Environment utilizes e-Builder, a third-party cloud-based construction and renovation project management information system, to manage university construction projects. The software streamlines and manages projects from the initial request through closeout for all projects managed by Planning, Design, & Construction (PDC).

With the launch of e-Builder, Built Environment will provide:

    • Project Request Form, where all new construction, renovation and facility renewal project requests can be initiated.
    • A higher level of collaboration between project managers, campus partners and third-party vendors by allowing input from designers, contractors and stakeholders.
    • Real-time reporting on project details, including budgets and cost information.

Integrated with Vanderbilt’s Oracle Cloud and single sign-on services, e-Builder provides users with seamless access to relevant facilities’ project information.

  • Geographic Information Services (GIS)

Geographic Information Systems (GIS) is responsible for the creation and maintenance of the University’s campus maps and associated data. Through the use of GIS applications, the team creates and maintains different university assets to display them through a multimedia process. This data includes communications (copper, fiber optics), electric, natural gas, fuel, chilled water, sewer, steam, water and other mappable assets. A map is a symbolic depiction emphasizing relationships between elements of some space, such as objects, regions, or themes.

Maps are available on this GIS website.

The public maps are available to the pubic for interactive use. The pdf maps are available publicly for viewing or download. The private maps are for Vanderbilt Staff only and the staff member must be logged into VPN and have a ArcGIS log on.

    • For more information about GIS or to contact the GIS department please email VUGIS@vanderbilt.edu
    • To make a GIS Mapping request please submit ticket through ReADY using the Space, GIS(Maps) & Library Archive icon.
    • For help with the Library Archives (Athena, OWL) please email the GIS department at VUGIS@vanderbilt.edu
  • Architectural Records Library

Maintain and organize the institution’s original facility documents (approximately 250,000 documents) with a linked database. Scan existing plan documents and link with the database. Support and provide Vanderbilt University Maintenance & Operations (VUMO), Architectural and Engineering, and library and printing.

The mission of the Office of Architectural Records Library is to provide a centralized research environment in which architects, contractors, engineers, project managers, faculty, staff, students, and support personnel services can utilize the most current and accurate sources of facility information, as well as documents dated from the 1870s, in order to benefit our campus and its endeavors.

All documents are scanned into our computer system and logged into the database. The originals are then housed in secure vaults. Customers are free to browse through the reduced (18×24″) printed documents in the library and our OWL-authorized users will have access to view our drawings online and may request any information for their specific project.

    VU Non-Disclosure for Drawings

  • Spatial Data

Serves as the official campus-wide reference point for issuing facility and room space numbering and for official building square footage. Maintains “as-built” floor plans for all facilities (Medical & University). Conducts space inventory of all non-medical space for indirect Cost Accounting and plan square feet. Updates and monitors official non-medical space assignment plan. Advises on documents, space use, and space changes.

  • Training
