Overview

Initiate a project and submit a request through eBuilder. 

The updated structure establishes a more consistent approach to project intake and induction. Before advancing into project design and implementation, PDC will work with stakeholders, including area chief business officers, to clarify project goals, funding, define scope, identify requirements, and establish responsibilities before projects. Here is a breakdown of the project flow:

Idea 

• Early planning establishes the vision, intended outcomes, and potential requirements. Planning and programming support may be involved before a project formally enters PDC.

Intake 

• The project sponsor submits a request through eBuilder. PDC reviews the initial scope and information to determine the appropriate next steps. 

Induction 

• The project receives the appropriate level of review. PDC clarifies scope, stakeholders, requirements, funding, and responsibilities, and assigns a Project Manager and Category Manager. 

Implementation 

• The project advances through design and construction, with defined responsibilities, coordinated handoffs, and ongoing attention to schedule, budget, quality, and stakeholder communication. 

The updated structure organizes projects into four categories based on project scope, complexity, and institutional priorities: 

• Category 1: Consists of projects involving limited design (one trade/discipline) and typically under $500K but could approach $5M (E.G. Roof replacement).  

• Category 2: Consists of projects involving complex designs (outside design services and multiple trades/disciplines) and typically range from $500K to $5M, requiring approval memos through VC or Chancellor level.  

• Category 3: These projects include all main campus large capital projects, exceeding $5M which will go through Chancellor and BOT approvals. 

• Category 4: Consists of Network Campus projects and on-campus Strategic Initiatives. 3rd party owner’s representatives will typically assist both programmatically from Nashville as well as construction oversight on location.   

Each project will be assigned to a Project Manager who will be the “main point of contact” throughout the life of the project. Each category is then led by a Category Manager who provides operational oversight and support, helping Project Managers coordinate resources, address challenges, and keep projects moving forward.
