The Protection of Minors policy requires individual compliance when engaging with youth in a VU program. Individual compliance requirements are communicated by the program leaders. If you are unsure of your individual compliance requirements, contact your department or program director. You can check your individual POM Compliance Summary on the Ideal Logic Campus Home page by logging in.

Annual Youth Protection (POM) Training

Starting July 2025, POM 101 and POM Annual Renewal Training will be one single Annual training. Annual Training for 2025-2026 is available in Oracle Learning Hub.  

Note: Protection of Minors training courses are available to those with a VUNET ID and Oracle profile.

  • How Do I Complete Annual Training for POM?

    Vanderbilt now uses one training module for policy complinace. Annual training is required to engage with minors in VU programs. Annually, if you continue interaction with minors in Vanderbilt programs and operations, you will need to annually renew your training compliance for the Protection of Minors not later than 365 days after completion of the prior module completion date.

    To do this, navigate to Oracle Learning, and select the "Learning Hub" icon on the menu page (tile with a white triangle in a circle). Search for the course in the learning catalog. Enter "Protection of Minors Annual Training," in the search, select the course, "enroll," and complete.

    Please note - reviewing completed training course material will not update your original course completion date. Protection of Minors Annual training will be launched annually on July 1st for the next academic and fiscal year.

  • I’m a Vanderbilt Student and Was Notified I Need to Take Protection of Minors Training; Where Can I Find More Information?

    The training instructions for annual training apply to all personnel seeking compliance due to youth events and engagement. Select this link to find out more about student compliance requirements. Matriculating first year undergraduate and graduate students at VU complete "Protecting Youth" training as part of Dean of Students compliance.  Once complete, Protecting youth and/or POM Annual training meets training compliance for student organization participation, student employment work with minors, academic interaction with minors, etc. Student compliance for the academic year is valid after July 1 annually and should be repeated annually if programs require it. 

  • How Do I Access My Training Completion Transcript or Certificate?
    1. Log into Oracle, Select the "Learning" tile
    2. At the bottom of the page, select "My Learning" to navigate to the "My Learning Experiences" page. 
    3. For a transcript of all courses, select the transcript button on the top right.  
    4. For a course certificate, filter for completed courses, select the course, then "actions" then "print certificate." 
    5. Learners may also check individual POM Compliance status at this link in Ideal Logic - sign in via SSO and view your current compliance on the "Campus Home" tab. This will also list any active events you have been added to. 
    6. If you are unable to view the information needed, please contact protectionofminors@vanderbilt.edu.
  • I Don’t Have or Can’t Access Oracle Learning and Need to Complete Another Version of Training.

    Instructions for alternate training access is available by contacting protectionofminors@vanderbilt.edu. Instructions will be provided after confirmation that affected personnel do not/will not have access to the Oracle Learning training. For volunteers, other non-employee, or non-VU students interacting with minors in VU programs, managers can work with their HCM specialist to add these personnel to Oracle for training access.

    Other alternate training may be approved by the Youth Protection Director or Program Manager. Any specialized training in addition to the required online module is at the discretion of the program coordinator and does not require prior approval by the Protection of Minors Director.

Background Clearance Compliance

Background clearance for personnel in approved programs for minors is required every four years. Recheck compliance (with the exception of Peabody students) is completed by the Office of People, Culture and Belonging (PCB/HR). Frequent questions about background clearance are below:

  • I Received an Email About Completing a Background Clearance That Looks Like Spam - How Do I Know It Is Legitimate?

    Contact us for instructions. The university vendor is HireRight for employment and POM rechecks. 

  • I Completed a Background Clearance but the POM Web Application/Personal Compliance Page Is Not Updated; What Should I Do?

    If you recently completed the clearance, it can take up to two weeks for it to be reflected in the POM Compliance system and is viewable when your Oracle person record is updated and loaded. You or your program leader can reach out to HR or the department who completed the clearance to verify the record was loaded.

  • I’m a VU Student and Need to Complete a Background Clearance for My Service in a Registered Student Organization; How Do I Get This Completed?

    Reach out to the SOLS or Anchor Link teams or consult with your Adviser for steps. Level 2 approved RSOs members will receive instructions in the Fall. 

  • How Do I Know if I Have a Background Clearance on File With the Protection of Minors System?

    Any person with a VUNet ID can use the Personal Compliance log in to view their background and training record status in the POM Web Application. Check individual POM Compliance status at this link.

  • It’s Been Four Years Since My Clearance, but I Have Not Received Information on Completing a Recheck, What Should I Do?

    If you are listed in an active personnel roster of an Approved program, prior to expiration, a recheck will be initiated and you will receive an email from the VU background clearance office (PEBC) and the university's clearance vendor with instructions to complete.
