Overview & Scope
The Vandy AI Calendar is intended to serve as a shared, public hub for AI events across Vanderbilt University. The calendar consolidates event communications into a single resource, helping reduce fragmentation while encouraging cross-promotion and interdisciplinary engagement across centers, departments, and organizations on campus who are passionate about AI.
The calendar is primarily intended for events focused on or adjacent to Artificial Intelligence. While the majority of events are likely to be from engineering and computer science related organizations, general arts and sciences are not only welcome, but encouraged to submit events if they involve usage and/or discourse regarding AI that may be of interest to the broader academic community.
How to Access
The calendar is publicly accessible at the following URL:

No login or Vanderbilt credentials are required to view the calendar.
Navigating the Calendar
Users can view events in three different display formats, depending on preference:
- Month View (default): A traditional calendar layout showing events by date
- List View: A chronological list of upcoming events
- Tile View: A grid-based layout for browsing events visually
In all views, users can click or hover over an event to see additional details such as descriptions, location, and tags.
Understanding Event Colors
Events are color-coded based on the organizing group to help users quickly identify the source of an event:
- Green: VUSE and VUSE-affiliated departments
- Blue: CCC and CCC-affiliated departments
- Purple: Institutes and Centers
- Dark Purple: External organizations
- Light Blue: Flagship or featured events
Filtering and Tags
All events are tagged and filterable using controls located in the upper-right corner of the calendar. Tags are used to improve discoverability and relevance and include:
- Event Type (highlighted in red)
- Intended Audience (highlighted in teal: Undergraduate, Graduate/Postdoc, Faculty, Staff, or Open to All)
- VUSE Topic Areas (green)
- CCC Topic Areas (blue)
- Institutes/Centers (purple)
- Other Tags such as virtual/online, alumni, or industry (black)
Users are encouraged to use filters to tailor the calendar to their interests.
Subscribing to the Calendar
Users may subscribe to the entire calendar using the “Subscribe to Calendar” option. This allows events to automatically appear in Outlook, Google Calendar, or other personal calendar applications.

Submitting an Event
Anyone may submit an event request for consideration by completing the event submission form below:

The request form collects the following information:
- Event title
- Event description
- Date and time
- Location
- Relevant event tags
All submissions are reviewed by the calendar administrator to ensure they fall within scope and are appropriately tagged. Providing event graphics is strongly encouraged but not required. If submitting a request, please ensure all required fields are completed, as this information is used to create the event listing. Please allow 24–48 hours for event requests to be reviewed and processed. Once an event is approved and posted, the requester will receive an email confirmation.
