Memorandum of Liability Insurance

(Evidence of Vanderbilt University's Insurance) 

Effective 7/20/2020, the university will move to a Memorandum of Insurance (MOI) process and no longer issue certificates of insurance (COI) for liability insurance. Online access to the Memorandum of Insurance (MOI) is hosted by our insurance broker, Gallagher. This improves efficiency and allows vendors and other certificate requesters to access, view, and print the university’s current insurance information online at any time. 

The Vanderbilt University Memorandum of Insurance link directs to the Gallagher page where the user is prompted to review the access terms and select “I agree” and submit before viewing the MOI.  

The MOI shows Vanderbilt’s current liability insurance program, including insurance companies, policy numbers, limits and effective and expiration dates. Information on additional insured parties and waiver of subrogation can be found in the additional information section of the MOI. Note: The MOI does not include property insurance.

Additional Insured Status

Occasionally, an outside party or vendor requests to be listed as additional insured on the insurance certificate. The MOI includes standard wording from the university’s insurance policy that automatically extends this status to the outside party if it is required in VU’s contract or agreement with them. There is no need for a specific endorsement or change to the insurance policy for this status to be provided.

Waiver of Subrogation

Similar to additional insured status, supplementary documentation is not needed in the event an outside party or vendor requests a waiver of subrogation. The MOI includes standard wording from the university’s insurance policy that automatically extends this status to the outside party if it is required in VU’s contract or agreement with them. There is no need for a specific endorsement or change to the insurance policy for this status to be provided.

Evidence of Property Insurance

Evidence of Property Insurance is not included in the MOI. To request evidence of Property Insurance, please send the following to riskandinsurance@vanderbilt.edu:

  • Value of the property to be covered, along with a brief description of the property including address and any serial number (e.g. Leased Premises at 123 Main St. Nashville TN or Xerox Printer Serial Number 771133 9th Floor Baker Building),  
  • Name and mailing address for entity requiring certificate,
  • Vanderbilt department requesting the certificate,
  • Copy of the contract, agreement, or lease as applicable,
  • Relevant contract number if applicable, and
  • Loss payee or loss payable clause if applicable

Note: it takes 2 business days to obtain evidence of property insurance. Requests received after 3:00 p.m. central time will be processed on the next business day.
