Flight Registration

All international flights are required to be registered with Anvil.

  • Flights booked through Vanderbilt's travel agency, World Travel, or travel booking portal, Concur, are automatically registered with Anvil. 
  • Flights booked through an airline, outside travel agency, or online vendor/travel site must be registered with Anvil using their parsing service
    • To upload your flights, forward your e-ticket to VanderbiltTrip@anvilgroup.com.
      • Your e-ticket should be forwarded as is. Do not add any information to the subject or body of the forwarded email

  • Parsing Tips

    To ensure optimal parsing of travel booking information via email, ANVIL recommends the following best practices:

    1. Email content should only be the original email provided by the supplier. Please refrain from sending trails of emails with a lot of forwards or email conversations, as this may cause the parse to fail.
    2. Emails should be forwarded to Anvil from the traveller.
    3. Photos or scans of bookings/itineraries will not be parsed.
    4. Include only one booking/itinerary per email. Multiple bookings are not supported on a single email.
    5. ANVIL does not support nested booking attachments. Please only attach one file to the email.
    6. Booking format can be HTML email or a PDF attachment (if that is what the point of sale provided).
    7. Booking emails must have all required information in order to parse. If an email is missing a key required component, the parse will fail 
      1. Minimum parsing requirements include airline name, flight number, departure location, arrival location, departure time, and arrival time
    8. ANVIL is only able to parse the data exactly how it is provided in the email.
  • Manual Uploads

    For assistance manually upload your flights to ANVIL send the following information for each flight to globalsafety@vanderbilt.edu using the format below. 

    *Please note, the Global Safety and Health team will only process manual uploads in this format. Manual upload requests containing only a copy of your e-ticket will not be processed by the GSH team. 

    • Traveler's Name (as it appears on your passport)
    • Traveler's VU email address
    • Traveler's Phone (including the country code)
    • Airline Name
    • Flight Number
    • Departure Location (city, country, and airport name or three-letter code)
    • Departure Date 
    • Departure Time (with time zone noted)
    • Arrival Location (city, country, and airport name or three-letter code
    • Arrival Date 
    • Arrival Time (with time zone noted)

Travel Briefs

Global Safety and Health is committed to preparing Vanderbilt travelers for departure by providing travel briefs to students, faculty, and staff upon request. 

Travel briefs provided by the GSH team may be pulled from a number of sources depending on the traveler's goals and/or concerns for their destination(s). Travelers may specify these source(s) or request a customized brief developed by the GSH team.

    • Download and launch the app

    Step 2: Enter Member Code

    • Enter Vanderbilt's member code: VU1873

    Step 3: Register as a new user

    • Set up your ANVIL account by registering as a new user 

    Step 4 : Use VU's SSO to sign in

    • The ANVIL app is SSO enabled and will require VU's dual authentication platform for login
