Oracle Cloud Updates

Additional In-System Guidance and Resources

New in-system step guides and resource links have been added to the GUIDE ME tab within Oracle Cloud for topics including:

  • Chart of Accounts (COA)
  • Tax form updates
  • HCM resource guides

With these new links, users can now access many Oracle Cloud-related resources without having to leave the system.  Links and resources will continue to be added – if you are unable to find a topic within this tool, please email skyvu@vanderbilt.edu to request that it be reviewed for addition in the future.

Coming Soon

Updated, mobile-friendly time card

Oracle Cloud continues to improve the user interface with mobile-responsive pages. The HR Payroll and Process & Systems Optimization teams are finishing testing an updated, mobile-responsive time entry screen that we expect to begin using during the first full bi-weekly time period in January 2020 (i.e., January 12-25).  Additional information and training will be sent directly to the affected users later this month.

Updated widget for in-system guidance

Oracle is in the process of upgrading the in-system guidance tool that powers the GUIDE ME tab.  Upon completion, the in-system guidance widget will be enhanced to include new features, such as downloadable PDFs and quick-demo videos.  Please stay tuned for additional details over the coming weeks.

In Focus

Prepare for calendar year end and the winter break!

HCM: Payroll and other transactions

Please review the Shared Administrative Calendar, noting the deadlines for HCM transactions and time cards through the end of the calendar year.

  • The final off cycle for 2019 will be December 13th; and
  • The first off cycle in 2020 will be January 10th.

Note that Payroll will not process off-cycle transactions during Winter Break (including 12/23).

Time Cards

  • The final biweekly payday in 2019 will be December 20th (for the 12/1-14 biweekly period); and
  • Biweekly employees and student workers are strongly encouraged to submit their time (and managers approve those time cards) prior to departing for Winter Break unless working over the break.

Purchasing and Payment Services

Please review your purchasing needs and submit any remaining orders with sufficient time to complete processing and receiving in advance of the break.

The last business day before the break will be Friday, December 20,2019, and  the first day back will be Thursday, January 2, 2020.
