I need to...

 

adjust my office/classroom/lab temperature

If you are a residential student or parent of a residential student and would like the temperature adjusted in your residence hall room, please direct your request to your residential assistant or area maintenance supervisor (AMS).

For adjustments to classrooms, offices, laboratories or other public spaces, please submit a facilities service request.

ask a question

The Service Information Systems (SIS) office is available to answer your questions. They are the first line of communications with customers for maintenance and service requests for campus buildings, grounds, and utilities. 

get a key

Requests for new or replacement keys, including lock changes, are completed by the Key Shop. To make a request for a key, please contact your department’s Authorized Key Requestor or submit a facilities service request.  Please see the Plant Operations  Building Access Procedure  for more information.

get a light fixed 

Requests to repair/replace indoor or outdoor lights can be made by submitting a facilities service request.

get a recycling bin

In Residential Housing

If you do not have a room recycling container and would like one, please contact your Area Maintenance Supervisor.

In an administrative or academic building

If you do not have a recycling container and would like one, please contact  the campus waste and recycling manager.

have an area or room cleaned

Building Services is responsible for the daily cleaning of campus academic, administrative, and residential buildings. Building Services also provides cleaning services in support of special university events and floods. Please contact submit a facilities service request.

have biological waste removed

Biological waste removal is offered on a routine basis for Medical Research Building III and Learned Lab. If there is a problem with routine biological waste removal, please contact submit a  facilities service request. If you wish to discuss biological waste removal for an area outside of MRBIII or Learned Lab, please contact 615-322-8110.

have ice or snow removed

If you encounter an area that is particularly hazardous, please contact Grounds Maintenance services immediately at 615-322-2621 or 615-343-9675.

move furniture

The moving crew handles the moving of items for most faculty and staff at the University as well as collection of surplus items to be delivered to the Surplus Program. They also handle the set-up of chairs, tables, tents, etc. for special events such as The Party and Commencement. To request their services or a price estimate, please submit a facilities service request.

Requests for tree planting, maintenance or removal can be made to Campus Planning & Construction (CPC) at 615-322-3973 or by emailing our Campus Landscape Architect at James Moore at james.h.moore@vanderbilt.edu.

remove unwanted electronics

Students

Residential students can recycle their electronic equipment by leaving their unwanted electronics next to their residence hall recycling location. Students are responsible for wiping data from their electronic equipment prior to recycling it. VUIT provides  Scrubbing Tools  to assist with this process.

Faculty and Staff

  1. If the equipment has stored data such as a desktop computer, laptop, smartphone, etc., it should have hard drives cleaned of all personal and confidential information prior to requesting a surplus collection. VUIT provides Scrubbing Tools to assist with this process.
  2. If the electronics were purchased with grant funds, the department must contact the Office of Contract and Grant Accounting (ocga-postaward@vanderbilt.edu, 615-343-6655) to determine whether the electronics are owned by Vanderbilt. Even if the electronics are not owned by Vanderbilt, they should still be handled appropriately satisfying all EPA and TDEC regulatory requirements. OGCA or the granting organization can give written/email permission to the surplus team to surplus the electronics. If the electronics are owned by Vanderbilt, then proceed to step 3.
  3. If the electronics are a tracked asset/capital equipment (initial purchase value of $5,000 or more), a Property Transmittal Form (PTF) must be completed by the department that owns the property. The PTF should then be sent to VU Finance and SEMO (scan and email to capitalassets@vanderbilt.edu and recycle@vanderbilt.edu).
  4. If the electronics are not a tracked asset OR after the Property Transmittal Form has been approved by VU Finance, call Service Information Systems (SIS) at 615-343-9675 or fill out a Facility Request Form to request a collection of electronic for recycling. All electronics recycling collections are completed at no cost.

If this is an emergency, please call 911 or 615-421-1911. For a campus security issue (non-emergency), please contact VUPD at 615-322-2745.

For a facilities emergency, call Building Systems Control (BSC) at 615-322-2621. BSC is Plant Operation’s main control center for monitoring fire alarms, security alarms, and building control systems.

For all other non-emergency problems, please submit a facilities service request.

report a safety concern

If this is an emergency, please call 911 immediately from any campus phone or 615-421-1911 from any other phone. For a campus security issue (non-emergency), please contact VUPD at 615-322-2745.

For laboratory safety concerns, please contact VEHS at 615-322-2057.  For all other safety concerns, please submit a facilities service request.

To report and environmental concern, please contact the campus environmental officer at 615-322-3745 or steve.gild@vanderbilt.edu. If the concern is location-specific, please note the location in your message.

report broken equipment/items

To report broken equipment/items, please submit a facilities service request  To repair a broken outdoor light, please submit a lighting outage form since there might be an associated safety issue.

Broken equipment and items will be addressed by your zone maintenance team. Zone maintenance covers electric, carpentry, heating, air conditioning and plumbing needs.

request a repair

All standard repairs are handled through zone maintenance operations. To request a repair, please submit a facilities service request. Please be prepared to specify the location and nature of the repair as well as the center number.

To report an elevator malfunction, please submit a facilities service request,

request event services

The pest control team is certified to handle most pest control problems presented to them. To obtain their services, please submit a facilities service request.

In Residential Housing: Residential housing recycling stations are located next to the trash dumpsters closest to your building. A map of recycling locations and more details are on the FutureVU Sustainability website. If you do not have a room recycling container and would like one, please contact your Area Maintenance Supervisor.

In an administrative or academic building: Most campus buildings have recycling containers in common locations like hallways, copy/mail rooms and break rooms. There are also containers along all major walking routes on campus. Please contact the campus waste and recycling manager at recycle@vanderbilt.edu or 615-343-2784 (615-34E-ARTH) if you see a container that is too full or would like to request containers in a new location.
