Online Appointments

The Writing Studio now offers synchronous online writing consultations as an important resource for Vanderbilt students enrolled in distance-based learning programs, others not currently in residence on campus, and those who would benefit due to other extenuating circumstances.

We are excited to work with this segment of the Vanderbilt student body. For those about to work with the Writing  Studio for the first time, consider reading this general overview about our appointments.

If you are on campus, we request that you continue to schedule face-to-face appointments with us whenever possible.


Requesting an Online Appointment: Brief Overview

Step 1: Schedule an appointment via the Writing Studio scheduler.

Step 2: Fill out a request to meet with your consultant online at least 24 hours before your appointment. Requests to meet online for Sunday and Monday appointments must be submitted by Friday at 5 P.M.

Step 3: Approximately five to ten minutes before the start of your appointment, log-in to the Writing Studio scheduler. Find the “*Online Sessions” line at the top of the current schedule and click on the time of your appointment (which should appear in red). Within the pop-up window, click on the red text “Start or Join Online Consultation.”

NOTE: Although your appointment will still show up in the original location under your consultant’s name, you can only enter the on-line session via the “*Online Sessions” block which will appear at the top of the schedule in red.

Scheduling and Beginning an Online Appointment: Detailed Overview

Step 1: Schedule an Appointment

Visit the Writing Studio scheduler to set up your appointment. You will need to enter your VUnetID and password. On your first visit, you will also need to go through the quick and easy process of registering a new account in our scheduler.

Once you are logged in, you’ll see our schedule for the current week. Using the navigation links at the top of the page, you can also access the following week, as well–you can make appointments up to fourteen days in advance. Open appointments appear as white blocks on the calendar, whereas blue blocks are already claimed appointments. Click on a white, “open” block to make an appointment, which will open a new appointment window. In the spaces below, you’ll also be able to add a note about what you’d like to discuss with your writing consultant.

Once the form is filled out, simply hit “Save Appointment.” Your reserved appointment time will appear in yellow. This is for a face-to-face appointment; see Step 2 below to request a synchronous online session instead.

Step 2: Request to Meet Online

Fill out the online session request form at least 24 hours prior to your appointment or by 5 P.M. on Friday for Sunday and Monday appointments. An administrative staff member will approve your request and give you access to our online sessions resource, which will appear as “*Online Sessions” at the top of the Writing Studio schedule for that day. Once reserved, your appointment will appear as a red block and you will receive an e-mail letting you know your online appointment is approved.

Step 3: Begin your Synchronous Online Appointment

As you get ready for your appointment, do note that to use WCOnline’s online consultation module, you’ll need to use either the Chrome or Firefox web browser, and it is important that your browser is updated to the latest version.

Approximately five to ten minutes before the start of your appointment, log-in to the Writing Studio scheduler. Find the “*Online Sessions” line at the top and click on the red block at the time of your appointment.

NOTE: Although your appointment will still show up in the original location under your consultant’s name, you can only enter the on-line session via the “*Online Sessions” block which will appear at the top of the schedule in red.

Within the pop-up window, select the red text “Start or Join Online Consultation.” This will open the online consultation module. You will be prompted to give your browser access to your camera and microphone–please do so.

Within the online consultation module, you’ll find a shared “document collaboration whiteboard” in the middle between the video display (on the left) and the chat pane (on the right). The whiteboard contains a default text explaining the features of the module including how to import or paste a document to the whiteboard. Changes made to text in this window are seen immediately by both individuals participating in the online consultation. Moreover, after your session, your chat and document will be saved in this online meeting. You can come back by viewing your appointment and clicking the ‘start or join online consultation’ link.
