Appointment Limits Per Day and Per Week

Appointments (full-length 1-on-1s and roundtables) are available on a first-come, first-served basis, but are subject to the following limitations.

Daily Appointment Limit

You are limited to 1 appointment (full-length or roundtable) per day.

Weekly Appointment Limit

You are limit to 2 appointments (full-length or roundtable) per week, BUT also to only 1 "active meeting" at a time, which means each week you will only be able to schedule a second appointment after you have held your first appointment.

In other words, the "active appointment" limit means that if you have already reserved a first appointment for a Wednesday at 3:00 PM, you will not be able to schedule an appointment for Thursday until after your first session is finished at 4:00 PM on Wednesday.

When Appointments Can Be Made and Cancelled

For full-length 1-on-1s and roundtables, the window for making (and cancelling) appointments opens 7 days in advance and closes 4-hours prior to the start of each session.

In other words, you must plan ahead by 4 hours to make or cancel an appointment (full-length 1-on-1s and roundtable). For example, would you like to book an appointment for a Tuesday at 5:00 PM? You must do so before 1:00 PM that same day.

Similarly, if you no longer intend to attend an appointment at 5:00 PM, you can cancel it yourself by 1:00 PM that same day without penalty. Otherwise, see our Policies on Late Cancellations and Missed Appointments

Back to top of page

Late cancellations, Missed Appointments, and “No Show” Policy

To cancel an appointment yourself (more than 4 hours prior to its start time), simply sign into the Tutoring Services scheduler, select your yellow appointment block, and then select cancel at the bottom of the appointment window.

Any cancellation made within the 4-hour window prior to the start of a given appointment

  1. must be made by calling the Tutoring Services front desk (615-322-2225) and
  2. will be marked as a no-show.

An appointment will also be marked as a no-show if the client is not present in the online meeting space by :10 past the hour.

After 2 no-shows between June 2-August 7, a client will have their account disabled and will not be able to book further appointments. These booking, cancellation, and no-show policies are in place as a courtesy to our tutors and to other clients who would like to book an appointment.

Can’t find an appointment? Sign up for a “Waiting list” Notification

No problem! Add yourself to our Waitlist for full-length appointment or learning roundtable. You will be notified by email should an appointment come open. Do be aware that in the event of a cancellation, all waitlisted clients will receive the same notification. To secure an appointment, you must still log into WCOnline and book the available appointment.

Pair Appointments

You also have the option of having an online pair appointment with a friend (2 total clients maximum). Both students must be enrolled in the same course and have similar goals for the session. Requests for pair appointments must be made in writing at least 48 hours in advance and sent to the Tutor Support Specialist at tutoring@vanderbilt.edu. We do not guarantee that we can accommodate all requests for pair appointments.

WCOnline and Zoom

About 5-10 minutes prior to the beginning of your appointment, log into WCOnline and click the box for your session. In that box, you will see a Zoom link. Clicking this Zoom link will take you to your virtual meeting space. Your tutor will meet you in the virtual Zoom room.
