Student Involvement Fair 2021 – Friday August 27, 2021, 3-5 PM

Welcome to our Student Involvement Fair information webpage.  Do you want to learn more about the Organizations in the Vanderbilt community? Take a look at our page to learn more about Vanderbilt’s student organizations and opportunities to get involved.  This event is a great opportunity for incoming and returning students to connect with many student leaders, discover organizations they might want to join, and become a part of a community that best align with and will also challenge students’ personal values!

Student Involvement Fair and Virtual Fair

The health and safety of our Vanderbilt community are our highest priority.  In compliance with the University’s Return to Campus Policies and Guidelines along with the Center for Disease Control’s (CDC) recommendations with regard to social distancing, we will host the Student Involvement Fair scheduled for August 27, 2021 from 3-5pm inside the Recreation and Wellness Center Field house at the Recreation and Wellness Center.

Additionally, we will have a Virtual Student Involvement Fair available for students and hosts that would prefer a virtual experience or are not able to attend the event at the Rec Center Field House.

This event will provide incoming first-year and transfer students with the opportunity to learn about our active student groups, and to help them connect with a community away from home.

It is also our hope that through this event, Student Organization Leaders retain the opportunity to successfully meet their mission objectives and continue to expand the community that contributes to the fabric of our Vanderbilt community.

  • Arts/Programming
  • Club Sports
  • Cultural
  • Greek (Fraternities/Sororities)
  • Religious
  • Service
  • Special Interest

Organizations currently signed up for the Student Involvement Fair

The following organizations completed and had their RSO registration form and complete the 2021 Student Involvement Fair Participation Form where they also confirmed attendance to this event.  If your organization is not listed below and you would like for them to attend the fair, please check to see if :

  • Your organization completed their RSO registration on Anchor Link
    • If so, check to see if it was approved by clicking on the “Submissions” option on Anchor Link (click on your initial or picture on the top right side of the page).  If not completed and approved, please complete the form and make sure to check “Yes” when asked about the Student Involvement Fair.  This must be completed by August 16th in order for your organization to participate in the fair.
    • To complete registration, student leaders must have admin access to their group’s page and must log in to Anchor Link with their VUNet ID and password
    • Once logged in, click on the, “Manage Organization” button on the top right side of the page and a blue button labeled “Re-register Organization” should appear in the middle of the page
    • Click on the button, read all of the instructions, and follow the steps provided carefully.  This will impact the approval.
  • Your Organization also completed the 2021 Student Involvement Fair Participation Form
    • This is a new form that was added to confirm attendance at the fair and to collect important information to accommodate student groups and address their needs for the event.  Student groups planning to attend this event must also complete this form by August 16th.
  • Your organization checked “No” on a completed and approved registration form
    • If your organization checked, “No” to the Student Involvement Fair but would actually like to attend, please make sure to complete your organization’s RSO registration and the 2021 Student Involvement Fair Participation Form  by August 16th.
  • Tracking Event Attendance
    • To minimize unnecessary contact, we will be avoiding use of card swipers at the Involvement Fair this year. We have a new, simple and easy way to track event attendance. Start by creating an event for your organization on Anchorlink entitled “_______at the Student Involvement Fair”. Once this event is created, you can view the “Attendance URL link”. This link, if converted into a QR code, can be scanned by attendees, and track their attendance just as card swiper would. We highly encourage setting up a QR code with your Attendance URL link and printing it out to have available at your table. There are multiple free online resources to create and download QR codes.

What to Expect at the In-Person Fair at The Rec Center Fieldhouse

As mentioned above, our highest priority is the health and safety of the Vanderbilt Community.  Which is why we will operate in compliance with the University’s Return to Campus Policies and Guidelines along with the Center for Disease Control’s (CDC) recommendations with regard to social distancing.  This year, hosts will be asked to wear masks, bring alcohol and/or disinfectant wipes, and any other Personal Protective Equipment that will help them feel safe for this event.

Large items such as paddles, motor cars, small boats or any items that take up a lot of space will not be allowed this year to ensure the proper operation of our event.  Due to COVID -19, we will be limiting the Student Involvement Fair to 300 student organizations this year.  If your organization plans to participate in this event, please make sure that your group completes its RSO Registration and 2021 Student Involvement Fair Participation Form .

Helpful Tips At The Fair For Student Org Hosts

  • Have your laptop(s) and other electronic items fully charged before arriving since no one will have access to electrical power
  • Have Personal Protective Equipment (alcohol wipes, hand sanitizer, masks etc.) available.
  • Create a trifold highlighting information about your organization’s mission, goals, and accomplishments
  • Have digital flyers (QR Codes) ready with information about how to get involved and upcoming meetings and events
  • Wear branded apparel or coordinated items and name tags to make it clear which organization you are with
  • Make a plan for how you will make students interested in coming to your table (ex. giving away individually wrapped swag, etc.)
  • Please use all available trash bins to dispose of any garbage or unwanted items.

This year, the Student Involvement Fair will take place at the Recreation and Wellness Center Field House on August 27th from 3:00-5:00 pm.

We encourage you to stop by and connect with over 300 student organizations in person or virtually, enjoy some free items,  and meet our newest members of the community, including transfer students and members from the class of 2025.  You may check back with this page periodically for updated information.

Helpful Tips:

  • Please make sure to have your phones ready to scan the QR Codes before the entrance.
  • Once inside, another QR Code will be available for you to scan.  That will open up your Student Involvement Fair Map.
  • Have your phone handy for scanning QR Codes from student groups that you may be interested in joining.
  • Please drop by the Information Tables if you have any questions.
  • The organization categories will be be color-coded on the organization list and on the area map. Balloon columns of various colors will be placed throughout the field house along with the category names in balloon letters to give you a sense of the organizations in the area.
  • Please use all available trash bins to dispose of any garbage or unwanted items.
  • Connect with all of the organizations that you are interested and learn more about them at their tables.

Virtual Student Involvement Fair Information

Below are two sections that will specifically focus on Student Participants, and Hosts (Student Organization Leaders).  Please click on the corresponding image to receive the information that you seek.  The participant’s section will have general information about the fair and will include updates as we get closer to the event.  The host section will provide Hosts with directions to coordinate with our office.
