July Student Employment Newsletter
In preparation for the upcoming school year we have included some important information regarding Student Employment.
Virtual Job Fair:
Our virtual job fair will begin August 1 st . However, there is no need to wait until August to post your jobs. We encourage you to post any available jobs on HireADore.com as our both our incoming & returning students are currently searching for positions. Incoming students have received their HireADore user name and temporary passwords.

FWS Contracts & Paperwork for Fall Semester:
The months of August and September are peak season for Student Employment, therefore avoid the rush! Know who you want to hire for the fall term? If so please send over the student’s hiring paperwork OR if they are Federal Work Study student you may request your FWS contracts today (students cannot utilize federal work study funds until August 23 rd ). Please be aware processing time during our peak time will be 7-10 business days from the day we receive all necessary paperwork . Delays in paperwork result in students not being able to utilize e-timesheet.

Payroll:
As of January 1, 2017, Vanderbilt University requires all non-union employees (including faculty, staff, post-docs, temps, and student workers) to enroll in direct deposit as a condition of employment. Click here for instructions.
Due to the 7-10 business days processing time please be aware of paperwork deadlines.
*If the 8/23/2017 deadline is missed your bi-weekly student they will be paid during the next pay period.
*If the 8/17/2017 is missed for your monthly student they will be paid during the 1 st week of September.
I-9’s:
It is the hiring department’s responsibility to inform their new hires about the I-9 process. Newly hired students must complete the I-9 process before being hired . If any student has not completed the I-9 within 3 days of being hired they will be terminated in the system per federal law.
Timesheets:
Please ensure that your students are using e-timesheet. Paper timesheets should only be submitted for a missed pay period. Any late timesheets we receive will be processed for the next pay period.
