Eligibility and Process Requirements

Library Collections Initiative


  • All full-time, VU-employed and Provost-reporting faculty and are eligible to partner with a professional librarian(s) in submitting proposals.
  • Proposals must include at least one faculty member and one professional librarian, but teams and groups are welcome to apply.

Submission Guidelines

  • These funds are for collection-building acquisitions (in any format) that enhance the depth and/or breadth of our research holdings and potential for on-going scholarship.
  • Acquisitions with interdisciplinary potential are welcome, as are deep, subject-focused collections. Proposals may be for items/collections that complement current library strengths or for items that introduce new collection areas.
  • The program is intended to augment library acquisitions for research. Successful proposals will acquire materials that enhance our position as an inclusively excellent and intellectually innovative research university by providing new primary sources and research collections.
  • The funding opportunity is open to all disciplines.
  • Award amounts will vary based on acquisition type.
  • Submissions are welcome at any time until all funds are distributed.
  • All purchases must be invoiced before June 15, 2018.

Proposal Guidelines

All proposals must be submitted online using InfoReady Review, Vanderbilt’s online submissions portal, and include the following:

  • Proposal title (up to 9 words).
  • Proposal abstract (up to 200 words).
  • Acquisition request (up to 1,000 words).
    • Describe the acquisition including nature, format (e.g. print, audio, video, artifact), scope, condition, rarity or uniqueness and how it constitutes an addition of major new primary resources that will significantly augment research capabilities for faculty and draw outside scholars to Vanderbilt; discuss acquisition in relation to current library holdings, does it broaden or deepen current strengths or address perceived weaknesses in the collection?
  • Trans-institutional (cross-department or cross-college) Demand (up to 300 words).
  • Departments and colleges at Vanderbilt likely to use the acquisition.
  • Rationale and evidence for likelihood.
  • Impact of acquisition (up to 300 words).
  • How the item or collection builds Vanderbilt’s research capacity, and positions VU as a leader and research destination. Compare to regional holdings. Also compare national and/or international holdings if pertinent.
  • Relevance to Institutional Mission (up to 200 words).
  • How does the collection advance the university mission and Academic Strategic Plan priorities?
  • Processing Requirements (text box – 300-word limit).
    • Indicate the requirements and processing necessary to make the acquisition accessible.
    • Provide a timeline for the processing necessary to make the acquisition accessible.
    • Rationale for that timeline.
    • If relevant, discuss the collection’s long term sustainability and preservation.
  • Timing Constraints (up to 200 words).
  • Total funding request (number field – overall total funding requested for acquisition and processing).
  • Bibliography of the item or collection.
  • Itemized budget.
  • Letters of support (optional).
  • Specify the cost of the item or collection.
  • Proposals should include a statement on how the item or collection would serve your particular research needs and how it would build the research capacity of the institution (i.e., dissertations that could arise from it, original research, curriculum support, student learning opportunities etc.).
  • Please indicate the processing requirements to make the collection accessible.
  • Endorsements from departmental chairs, experts in the field (whether at Vanderbilt or elsewhere), deans, or research librarians may be attached if desired.

Proposal Review

Given the need for timely action due to the possible opportunistic aspects of some collection acquisitions, proposals will be evaluated as they are submitted by ad hoc committees assembled with some members from the newly-established University Library Committee.
