Document Mailing Options

The options below are for replacement I-20/DS-2019s, Employment Authorization Cards, or other documents you need mailed to you (within the U.S. or Internationally).

Please choose one of the following three options when requesting to have your immigration documents mailed. Please be sure to provide your full legal name as it appears on your I-20/DS-2019 on all correspondence with ISSS.

Please note: Vanderbilt will cover the cost of all initial immigration documents mailed to our students and scholars.

Pick-Up Authorization

You may give authorization to a designated individual or department to pick up your documents with the exception of EAD cards, these must be picked up in person by you or sent to you via courier (see Express Mail Service section below) if you are no longer in Nashville. If you wish to authorize someone to pick up your documents, please send an email to with the following information:

  • Your full name and contact information
  • The designated individual’s name or VU department name
  • A statement authorizing them to pick up your documents from the ISSS office. Include in this statement which document(s) you are authorizing them to collect on your behalf.

United States Postal Service

We will send your immigration document to you by regular mail at no additional cost to the student/scholar. Please provide us with your U.S. mailing address.

Note: This method is best for shipments within the United States. We do not recommend this option for international shipments as it is slower and you cannot track the package.

ISSS will not ship Employment Authorization Cards via regular mail.

Express Mail Service

International Student & Scholar Services uses an express mail service that will allow you to receive your immigration documents through DHL or FedEx. Requesting your immigration documents through express mail is at YOUR expense. Your credit card (Visa, MasterCard, or Discover cards only) will be charged upon requesting the service. To request express mailing of your documents, go to the following website (works best with Internet Explorer & Firefox browsers).

You must use the website provided above – do not go directly to the DHL or FedEx website, all communication will go through the eshipglobal service, who will notify us that you are requesting your documents to be sent by express mail. Discounts from retail rates are provided with this service.

If you use this service, you will be required to create a user name and password to set up an account. To request shipment, you will need your mailing address, email address, phone number, and credit card information. Please pay close attention to the information submitted, as errors in the credit card information or submitting incorrect or incomplete address information will result in a delay in the mailing of your documents.
