Oracle Knowledge Base: My Knowledge

My Knowledge is a knowledge base of articles ranging from policies and procedures to technical articles and FAQs that was made available to the employee community on September 14th.

Users now have access to search across functional areas in the knowledge base and the option to mark their favorite helpful articles as well as share those links with team members.

Invoice Approvals: Viewing PDF Images

The in-system notification for approving invoices was updated in the most recent update, and users will now see the invoice image available within the View Approvals section.  To access the image in the system notification, users should select View Approvals from the Actions menu.

 

Help Center: Quick Access to Known Issues List

We have recently added new links to the Oracle Help Center.

These links provide direct access to the Known Issues list as well as the Get Help page on our website.


In Focus: Coming in October

Oracle Help Desk and Service Requests

Next month several teams – including the Process & Systems Optimization (PSO/SkyVU) Team – will migrate from managing user requests for assistance using shared email exchange boxes to the Vanderbilt Administrative Support Tickets (VAST) process via Oracle Help Desk.

Key benefits of this tool are:

  • Direct correspondence: Users will receive information and update notifications regarding their requests via email and have the option to respond either via email or within the system; and
  • Status updates: Users will have access to monitor the status of their requests directly within the system.

Please stay tuned for additional information as areas begin to use this new process to support our users.

 

Improvements to Time Card Reporting of Holidays and Second/Third Shifts

Starting with the biweekly period beginning Sunday, Oct 18, and the weekly period beginning Monday, Oct 19, the process for reporting Holiday, Second Shift and Third Shift time will be updated as follows:

  • Shift premiums: The system will automatically calculate regular time associated with second and third shift premiums – this will allow the eligible employee to enter only one time type rather than the two entries currently required; and
  • Holidays: The system will automatically calculate the holiday premium if an eligible employee works a Regular, Second or Third shift on a designated federal holiday.  In addition, the Holiday Worked time type will no longer be needed (and thus eliminated), and an employee who takes an alternate day off can simply report that time using the Holiday time type in order to be paid.

Additional information and training will be provided to impacted employees and managers as well as their HCM Specialists as the change is placed into production.


Tip of the Week

Oracle Learning Activities: View By Options

Users who are working through training courses with multiple activities have the option to toggle their view to display Things to Finish (i.e., only incomplete, remaining activities), Completed Activities or All Activities.

Financial Unit Managers, HCM Specialists and Approvers may find this feature particularly helpful when reviewing prior user group meeting recordings in the Oracle Cloud Continuing Education: Financials and Core HR series.

All user group meetings for the remainder of the summer semester will be hosted via Zoom.
