1-to-1 Consultations Policies

1-to-1 Speaking & Pronunciation Consultations

  • Students should have a particular speaking or pronunciation need and context in mind.
  • If working on a presentation, students do not need to have a scripted presentation before they make or attend an appointment.
  • Students must determine with their class instructor whether or not it is appropriate to use the ELC’s 1-to-1 consultation services for assignments / projects, as described in the Vanderbilt University honor code. If a student proceeds with scheduling a consultation, they confirm that they either have or will receive permission to review this content with a consultant.

1-to-1 Writing Consultations

  • Students should have a particular writing need and context in mind.
  • Students do not need to have a completed draft before they make or attend an appointment. However, they must bring a hard copy of the material they wish to work on or a digital copy on their own computer.
  • Students must determine with their class instructor whether or not it is appropriate to use the ELC’s 1-to-1 consultation services for assignments / take-home examinations, as described in the Vanderbilt University honor code. If a student proceeds with scheduling a consultation, they confirm that they either have or will receive permission to review this content with a consultant.

All ELC 1-to-1 Speaking, Pronunciation, and Writing Consultations are remote on WCONLINE, our online scheduling and consultation management app.

1-to-1 Consultations

Consultation Sessions (Remote)

Online consultations are scheduled between 8:10 a.m. and 9:00 p.m. Central Time, Monday through Friday (depending on consultant availability). All online consultations will take place on WCONLINE unless the client and consultant agree to switch to Zoom.

For writing consultations, it is recommended that students share their screen or copy and paste reasonably-sized portions of text (e.g., a few sentences or a short paragraph) onto the WCONLINE whiteboard in order to share their writing for discussion. Alternatively, students may also link a file to their appointment within WCONLINE.

Consultation Sessions (In-person)

Although all consultations are now meeting remotely, in-person consultations may be scheduled by special arrangment at ten past the hour, in 50-minute blocks, between 9:10 a.m. and 4:00 p.m. Monday through Friday. In-person consultations meet in ELC offices / classrooms and depend on consultant availability. Request an In-person apointment via email: elc@vanderbilt.edu.

Appointment Scheduling

When a student schedules their appointment online for a session, we do everything we can to facilitate a consultation. This policy means that we try to confirm a scheduled consultation with the student-client and a consultant if the consultation is made at least 24 hours in advance. Any appointment requested after 11:59 p.m. Central Time for the next day will be rescheduled.

  • Undergraduate, Graduate, and Professional students may schedule up to three (3) consultations per week.
  • Students may not schedule more than one (1) appointment for the same day.
  • Students must make their own appointments.
  • Students may schedule appointments no more than two (2) weeks in advance.
  • Students may not schedule an appointment to last longer than the standard 50-minute session.
  • Students who miss three appointments during a semester and/or who cancel three appointments less than 24 hours before those appointments may risk losing the ability to schedule any further consultations during that same semester. 
  • It is not normally possible to schedule standing consultations over the course of a semester or an academic year.
  • Faculty and staff may be scheduled on an as-needed basis by the ELC and must request appointments via email: elc@vanderbilt.edu.
  • Employees of the Vanderbilt University Medical Center (VUMC) are not eligible for consultation sessions.
  • 1-to-1 consultations are offered only during Fall and Spring semesters (closed during Winter Break and Summer Break and with limited availability during Fall Break, Thanksgiving Break, and Spring Break).

What 1-to-1 Consultations Do Not Offer

  • Consultants do not provide content for presentations or other speaking assignments / projects. Consultants can, however, help students learn how best to word their own work.
  • Consultants do not provide editing or proofreading services (i.e., a writer cannot drop off a paper and pick it up later with corrections, and a writer cannot sit passively through a session in which a consultant “corrects” or “edits” a paper). Consultants can, however, help clients learn how best to edit or proofread their own work.
  • Consultants never discuss scores or grades, nor make evaluative comments about assignments or instructors during consultation sessions or in conversation with clients or other consultants.
  • Consultations are meant to be 1-to-1, and clients may not bring a friend / classmate to a consultation for a group consultation.
  • Consultants may refer students to the Writing Studio if they determine the student’s main needs involve organizing and presenting their ideas and academic ideas in writing and are not related to the needs of writers for whom English is as an Additional Language.
