Regalia Information

REGALIA ORDERING

All graduates participating in Commencement must have the appropriate regalia (cap and gown) to walk. The deadline for ordering regalia is April 7, 2017; however, we recommend ordering prior to Spring Break 2017. If you miss the deadline, there is a late fee and it cannot be guaranteed that you will receive your cap and gown in time for the ceremony.

REGALIA PICK-UP and RETURN

Cap and Gown Pick-up
Date: Wednesday, May 10 & Thursday, May 11
Time: 8:00 a.m. – 5:00 p.m.
Location: Barnes and Noble at Vanderbilt
 
Students may pick up caps, gowns, tassels and hoods at the Barnes & Noble at Vanderbilt by presenting a photo ID.Anyone presenting your Vanderbilt ID may pick up your regalia (Cap and Gown) for you. Regalia are not available on Alumni Lawn.
 
When picking up regalia at Barnes and Noble at Vanderbilt, please be aware that there is a separate line for graduate and professional school candidates. Often times, because the undergraduate line is quite long, graduate and professional school students are unaware/unable to see that there is a separate line.
 
Cap and Gown Return (for those renting regalia)
Date: Friday, May 12 – Monday, May 15
Deadline: Monday, May 15 at 12 pm
Location: Barnes and Noble at Vanderbilt

Masters: Keep tassel and cap, return hood and gown. 
Doctors and PhD: Return all aspects of gown, tam with tassel and hood.
 
Undergraduate students have the option of recycling their regalia in white cardboard boxes labeled “Oak Hall Regalia Recycling.” These receptacles are for undergraduate regalia only. This is NOT an acceptable place to return regalia. Rented regalia must be returned to Barnes and Noble at Vanderbilt by 12 pm on Monday, May 15th.

PROCESSION

Friday, May 12 
Commencement – Main Ceremony - Procession Line-up
Time: 8:25 am (you must be in line by 8:25 am; please plan to arrive prior to this time)
Location: Alumni Lawn
 
Students and faculty report to assembly areas to line up for the Commencement Procession. Promptness in lining up is imperative. Graduates must assemble by school no later than 8:25 a.m. There will be signs posted in the designated processional assembly areas for each school. Graduate and Professional school students should look for signs with the school name listed at the top with the degree type listed below.
 
PROCESSION ASSEMBLY SIGNS

There will be signs mounted on white poles throughout the procession line assembly locations with the school name at the top followed by a range of numbers. These are for undergraduate students only. Graduate and Professional school students should look for similar signs with the school name listed at the top with the degree type listed below it. Once you have found your meeting point, you are welcome to assemble in any order. You do not need to be lined up alphabetically for the main ceremony procession.

PROCESSION ASSEMBLY AREAS

The Divinity School will assemble in the following order and place:
Divinity School followed by OGSM candidates (M.Div., M.T.S. [Divinity]; and M.B.A., M.S.F., and M.Acc. [OGSM]). Degree candidates from Divinity will line-up in single file (not in alpha order) beginning at the Southwest corner of Alumni Hall between Neely Auditorium (see ORANGE line on Assembly Area map). Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The School of Engineering – M.Eng. degrees will assemble in the following order and place:
Graduate School and School of Engineering Master’s degree candidates (M.A., M.S., M.A.T., M.F.A., M.L.A.S., M.Eng., and Ph.D.) will line up in single file (not in alpha order) beginning between McGill Hall and Tolman Hall facing Alumni Lawn (see DARK BLUE line on the Assembly Area map). The assembly area will be indicated by DARK BLUE signs designating degrees.
 
The Graduate School will assemble in the following order and place:
Graduate School and School of Engineering Master’s degree candidates (M.A., M.S., M.A.T., M.F.A., M.L.A.S., M.Eng., and Ph.D.) will line up in single file (not in alpha order) beginning between McGill Hall and Tolman Hall facing Alumni Lawn (see DARK BLUE line on the Assembly Area map). The assembly area will be indicated by DARK BLUE signs designating degrees. Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The Law School will assemble in the following order and place:
Law School followed by the School of Medicine (candidates for J.D., LL.M. and all School of Medicine degrees) will line up in single file, (not in alpha order). Line begins in the area between Cole Hall and Sarratt Student Center (see GREEN line on Assembly Area map). The assembly area will be indicated with GREEN designating signs. Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The School of Medicine will assemble in the following order and place:
School of Medicine candidates for degrees (proceeded by the Law School) will line up in single file (not in alpha order) beginning between Cole Hall and Sarratt Student Center (see GREEN line on Assembly Area map). The assembly area will be indicated with GREEN designating signs. Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The School of Nursing will assemble in the following order and place:
School of Nursing candidates for Ph.D., D.N.P., and M.S.N. degrees. Candidates will line up in double file (not in alpha order) beginning at the Kirkland Hall esplanade and extending down the path toward Furman Hall. (see YELLOW LINE on the Assembly area map). Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The Owen Graduate School of Management will assemble in the following order and place:
Divinity School followed by OGSM (candidates for M.Div., M.T.S. (Divinity); and M.B.A., M.M.H.C., M.S.F., M.Acc. (OGSM). and M.Mark. Degree candidates from OGSM will line up in single file after Divinity (not in alpha order) beginning at the Southwest corner of Alumni Hall between Neely Auditorium (see ORANGE line on the Assembly Area map). The assembly area will be indicated by ORANGE signs designating degrees. Faculty line up behind the dean and banner bearer, but in front of the degree candidates.
 
The Peabody College post baccalaureate candidates will assemble in the following order and place:
Peabody College candidates for M.Ed., Ed.D. degrees. Post baccalaureate candidates will line up double file beginning at the East side of Kirkland Hall esplanade near Kissam and Dyer dormitories extending down the path toward Furman Hall (not in alphabetical order – see YELLOW LINE on the Assembly Area map). Faculty line up behind the dean and banner bearer, but in front of the degree candidates.

Graduate and Professional School Degree Awarding Ceremonies

Upon dismissal from the main commencement ceremony, graduate and professional school candidates and their guests should proceed to various locations across campus for their school affiliated degree - awarding ceremonies. During said ceremonies, candidates will receive their official diplomas.

Listed below are the ceremony times and locations for each graduate/professional school:

Divinity School 
10:30 am
Benton Chapel

  • Immediately following the main ceremony degree recipients should line up alphabetically in the corridor outside the Divinity Administrative suite (Room 113) for procession into Benton Chapel. The diploma-awarding ceremony will begin at 10:30 a.m. All members of the Divinity School faculty should line up behind the degree recipients.
  • Following the ceremony there will be a reception for graduates and their guests in the refectory of the Oberlin Divinity Quadrangle.

Law School 
10:30 am
Curry Field

  • Degree recipients should line up alphabetically between the Law School and Owen School for procession into the tent on Curry Field. 
  • Following the ceremony there will be a reception for graduates and their guests on Curry Field.

School Nursing 
10:45 am
Brandscomb Quadrangle

  • At 10:30 a.m. degree recipients should line up alphabetically, according to specialty, in the Branscomb Quadrangle main lobby for the procession. The ceremony will begin at 11:00 a.m. Marshals will be on hand to assist.
  • Following the ceremony there will be a reception for graduates and their guests in the Formal Lounges of Branscomb Quadrangle.

Graduate School 
11 am
Magnolia Lawn

  • Immediately following the main ceremony Graduate School degree recipients should line up alphabetically according to degree behind designating signs on Magnolia Circle Lawn.
  • After the ceremony there will be a reception for graduates and their guests on Magnolia Circle Lawn.

Owen Graduate School of Management 
11 am
Vanderbilt Recreation and Wellness Center

  • Immediately following the ceremony on Alumni Lawn degree recipients should proceed to the Vanderbilt Recreation and Wellness Center and line up alphabetically.

Peabody College 
11 am
Wyatt Center Lawn

  • At 10:40 a.m. Master’s degree recipients should line up alphabetically according to degree behind designating signs on the sidewalks on Peabody Mall. Doctoral candidates and faculty should line up alphabetically behind designating signs on the sidewalk beside the Cohen Building. Procession onto Wyatt Center Lawn will start at 11 a.m. There is a reception following.

School of Medicine 
11 am
Langford Auditorium

  • Students are allowed 5 guests in Langford Auditorium. 
  • At 10:30 a.m. degree recipients should line up alphabetically in the second floor corridor of Light Hall for procession into Langford Auditorium, where the ceremony will start at 11:00 a.m. Faculty line up in the North lobby of Light Hall on the second floor. The School of Medicine graduates, their families and guests will attend a reception immediately after the Program of Recognition at Light Hall Plaza.
  • 12:30 – 2 p.m. Informal luncheon for faculty participating in the graduation exercises. Buttrick Hall Atrium.

Inclement Weather Plan

In the event of inclement weather, the ceremony will be held in Memorial Gymnasium. The decision to enact the rain plan will be made by 5 am on Friday, May 12th.

Announcements regarding the change will be made through all Vanderbilt Commencement social media platforms and a message will be sent via text to all students and guests who had previously registered to receive text alerts.

Friday, May 12 
Commencement Ceremony Rain Plan
Time: 9 am
Location: Memorial Gym
 
Student arrival time: 8:15 am (you must be seated by this time, so please plan to arrive early)
 
Seating information: There will be no procession for candidates in Memorial Gym. Instead, graduate and professional school degree candidates should enter through the “Student Entrance” located on the south side of Memorial Gym facing the baseball field and make their way to the west end of the court via the “Southwest Connector.” Watch for signs designating school and degree at the end of the rows. Faculty Marshals will be on hand to assist.
