Vanderbilt Virtual School offers YOU the opportunity to save time, travel, effort, and cost by conducting your local, statewide, nationwide, and international meetings using Vanderbilt Virtual School’s Videoconferencing Studio.

 

WHAT IS VIDEOCONFERENCING?

 

Videoconferencing is an interactive tool that allows people in different locations to electronically collaborate face-to-face, in real time, and share all types of information including data, documents, sound and picture. In essence videoconferencing removes the barrier of distance that separates us.

 

HOW MUCH DOES IT COST?

 

Vanderbilt Virtual School Studio offers a simple "one price" policy with no hidden extras, and we specialize in short notice booking service.  Connections to 1 site or to 7 different sites throughout the world are the same: only $200 per hour payable to Vanderbilt Virtual School.  We handle ALL the technology, and all you need to do is come to the studio on time.

 

The $200 per hour charge covers everything: phone calls and pre-conference IP test calls with participating sites before the conference; operation of all equipment on the day of the videoconference; the full use of the studio; use of all peripherals; and services of an onsite Media Tech to run the technology of the videoconference.

  • INCLUDES use of peripherals: computer with high-speed Internet connection; VHS; DVD; flex cam; and document camera
  • PowerPoint presentations, DVD, VHS, document camera, flex cam, and computer with Internet can all be viewed full-screen or split screen.
  • INCLUDES services of an onsite Media Tech to handle ALL the “technology”, do test calls and videoconference connection

NATIONAL and  INTERNATIONAL BUSINESS MEETINGS - Conduct effective meetings, make presentations to clients, and meet new business prospects in distant cities without leaving town

EMPLOYMENT INTERVIEWS - Recruitment and employment interviewing will reduce recruiting costs. Imagine interviewing multiple job candidates, thousands of miles apart, all in the same day!

THESIS and RESEARCH DISCUSSION - Videoconferencing technology is used for thesis defenses.

PROJECT MANAGEMENT - Access key resource personnel spread across locations;  interact with colleagues and clients worldwide;  participate in several project teams at the same time.

VC confidentiality statement

Vanderbilt Virtual School Studio Videoconferencing service maintains privacy and protection of customers’ personal information and content of all conference communications (visual, written, or audible) throughout the session. Recording is optional, costs an additional $25, and is done ONLY upon customer’s request.

RESERVATIONS:

  • Use the online reservation system to fill out the required information

  • Down payment of $100 must be paid upon reservation.
  • IP addresses for other site or sites must be provided along with the reservation so test call and videoconference connections can be made.
  • A quality assurance “test call” will be conducted with the other site or sites prior to videoconference session.
  • Minimum charge for a videoconferencing session is for ONE hour.
  • Rental charges are based on number of hours reserved.

CANCELLATION FEES:

  • Cancellations received within 24 – 48 hours prior to the session time will be billed at half-price of the session.
  • Cancellations received less than 24 hours prior to the session time will be billed full amount.

PRICING:

 

Payment @$ 200/hour will be accepted in U.S. dollars, in accordance with the current exchange rates.

 

Pricing for videoconferencing services “after working hours”:

 

  • For a videoconferencing session after working hours (5:00 PM Central Time), an extra charge of $50.00/hour will be applied.
  • For a videoconferencing session on weekend, an extra $75.00/ hour will be applied.
  • For a videoconferencing session after 10 PM Central Time, please contact Vanderbilt Virtual School for pricing and possibility.

 

The Vanderbilt Virtual School studio is located in the Vanderbilt University Office of Community, Neighborhood, and Government Relations house at 2007 Terrace Place in a historic three-story brick house. Terrace Place is the short, street located between 20th and 21st Avenue.  Park FREE in Visitors' Parking located at the back of the house (five spaces are marked for visitors' parking and ignore the one hour time limit).

The Virtual School Studio was purposely designed for collaboration and videoconferencing and is perfect for meeting with other individuals or institutions and connecting beyond the four walls.
