THE TEST CALL
Your next step will be to schedule a "test call" with our Media Technician, Michael Majett ( HYPERLINK "mailto:mike.majett@vanderbilt.edu" mike.majett@vanderbilt.edu).  (This test is required before participation in your first videoconference each school year.  We test each Friday between 9 – 11 AM Central Time.  Please email Michael a 15 minute slot when your school can dial into our bridge.  Our IP address is 129.59.139.23.  All settings and equipment must be exactly as they will be during the videoconference.  If your school connects through a bridge, the school and the bridge must participate in the test.
 
Once you have completed a successful test call, there is no need to schedule another test call each school year unless you’ve changed equipment or settings or have had difficulty with your connection.
 
THE CONFERENCE
On the day of your videoconference, please call in 10 minutes before the conference so we can take care of any technical problems before the start of the videoconference.  Since the entire videoconference is voice activated, it is crucial that you mute all microphones until the Moderator addresses your school.
 
The number to call for technical assistance during your actual videoconference is 615-343-1018.  The IP address for the Virtual School is 129.59.139.23. 
 
CANCELLATION POLICY: The full $75 fee (U.S.D.) will be charged to sites which cancel with less than 48 hours notice of the program date except for weather emergencies or catastrophic events. "NO SHOWS" will incur the $75 fee (U.S.D.).
 
Please make sure a purchase order is in place after you receive confirmation and send a copy to:  Vanderbilt Virtual School, Attention:  Chandra Allison, 2007 Terrace Place, Nashville, TN, 37203 or fax it to 615-343-1145.  This is to assure that funds are available and invoices are processed in a timely manner.

Videoconferencing Checklist
 
Participating School Contact /Coordinator:
___Communicate videoconference information to participating teachers and students.
___Before the videoconference, teachers should discuss videoconference topic with students.
___Before the videoconference, students should prepare possible questions to ask presenter during question and answer session.
 
Room Set-up and Videoconference Etiquette:
___Make sure ALL participants can see the monitor and be heard.
___Frame a picture of participants that is not too close or too far away.
___Set up several camera pre-sets to use during question and answer period.
___Have a banner or sign in your class identifying the school so we can identify your school during Q & A (or “program” your school name into your VC equipment so it appears on screen)
___MUTE your microphone when the presenter is speaking.
___Students should come to a microphone to ask their questions, and students should speak slowly and clearly.
___Students should begin their questions by introducing themselves. ("Hello Mr._______.  My name is ______. My question is _____.”)
___Encourage students to listen carefully to the questions from other classes that will participate in the videoconference so that questions are not repeated.

THE TEST CALL
Your next step will be to schedule a "test call" with our Media Technician, Michael Majett ( HYPERLINK "mailto:mike.majett@vanderbilt.edu" mike.majett@vanderbilt.edu).  (This test is required before participation in your first videoconference each school year.  We test each Friday between 9 – 11 AM Central Time.  Please email Michael a 15 minute slot when your school can dial into our bridge.  Our IP address is 129.59.139.23.  All settings and equipment must be exactly as they will be during the videoconference.  If your school connects through a bridge, the school and the bridge must participate in the test.

Attached is a Videoconference Equipment Testing form.  Please fill out the Videoconference Equipment Testing form and return to Mike Majett at HYPERLINK "mailto:mike.majett@vanderbilt.edu" mike.majett@vanderbilt.edu at your earliest convenience.

Once you have completed a successful test call, there is no need to schedule another test call each school year unless you’ve changed equipment or settings or have had difficulty with your connection.

THE CONFERENCE
On the day of your videoconference, please call in 10 minutes before the conference so we can take care of any technical problems before the start of the videoconference.  Since the entire videoconference is voice activated, it is crucial that you mute all microphones until the Moderator addresses your school.

The number to call for technical assistance during your actual videoconference is 615-343-1018.  The IP address for the Virtual School is 129.59.139.23. 

CANCELLATION POLICY: The full $75 fee (U.S.D.) will be charged to sites which cancel with less than 48 hours notice of the program date except for weather emergencies or catastrophic events. "NO SHOWS" will incur the $75 fee (U.S.D.).

Participating School Contact /Coordinator:
___Communicate videoconference information to participating teachers and students.
