Obtain Travel Authorization

Before you travel, you must first obtain authorization. As outlined in Vanderbilt's Travel Policy:


Travel is a privilege and must be approved in advance. Faculty and staff use Form 60-002-523 Authorization for Official Travel to request approval for travel... Travel Authorization forms must be approved prior to any trip, remain within the individual´s home department, and should be retained until the filing process of the travel expense report is complete. The approved travel expense report and supporting receipts should be sent to the Disbursement Services or the Department of Finance for reimbursement.

Why Obtain Travel Authorization?

  • It is required by the Travel Policy, as described above.
  • Travel Authorization protects you under Vanderbilt´s insurance when traveling for Vanderbilt-sponsored business.
  • Proper use of the form promotes sound financial forecasting and planning for business travel.
  • Authorization is required to obtain a cash advance or travel pre-payment for airfare, hotel deposit or conference registration fee.
