“Don’t Take Our Advice” Campaign Launched

 

March 13, 2008 — Vanderbilt’s HR Processing Office is launching the “Don’t Take Our Advice” campaign in April 2008, encouraging faculty and staff to suspend the printing of their pay advices. “The blue pay advice is not a ‘live’ check and contains payroll information that is easily obtained by logging in to C2HR,” says Dan Cline, director, Human Resources.Currently 8,500 faculty, staff and student employees have direct deposit and suppress the printing of their pay advices. However, 20,000 advices are printed each month, Cline reported. “Our goal is to reduce that by at least half.” Cline calculates if he lined up the pay advices printed in 2007 it would stretch 53 miles. “That length of paper would circle campus 19 times,” says Cline.

Environmentally, the cost is much more than just the paper on which the advices are printed. “When you include the materials and energy used to print and heat-seal each pay advice and the vehicles used to deliver them, the environmental cost is substantial, even if you recycled all the advices printed,” says Jennifer Hackett, Vanderbilt’s recycling coordinator.  VU Sustainability and Environmental Management Office Director Andrea George agrees. “If we reach the goal of eliminating 10,000 pay advices per month, we could potentially save 8,000 pounds of wood and almost 7,000 pounds of greenhouse gas emissions per year just from reduced paper usage, not including transportation or printing impact” says George. “We are thrilled to be involved with the ‘Don’t Take Our Advice’ promotion.”

 

To stop the printing of your pay advice, email payroll@vanderbilt.edu and use the subject line ‘Don’t Take Our Advice.’ To sign up for direct deposit, log in to C2HR, click on “direct deposit” and follow the instructions. You will need your bank’s routing number and your account number to set up direct deposit. The direct deposit process typically takes two pay cycles to ensure confirmation of your account information. You may also use the Direct Deposit/Pay Distribution Form.

Both the Division of Administration and the College of Arts and Science require their faculty and staff to suppress pay advice printing. “We did it to simplify internal procedures.  There was an element of speed and an element of efficiency in our decision to stop printing advices. C2HR gets the information to our faculty and staff in a quick and efficient manner, whether one is on campus or not. And saving a few trees in the process is a big plus,” says Arts and Science Dean Richard McCarty.

C2HR is the human resources online service that faculty and staff may use to review current and past payroll information; benefits enrollment and beneficiary information; vacation, sick and personal accrual balances; and enroll in or change direct deposit, and update address and emergency contact information.
