>> ePAC and Student Employees

Employers have been encouraged to use ePAC to make their EDC (Earnings Distribution Changes). However, there is a timing issue when it comes to students!

Student personnel data must be changed on paper. When EDC/RDC changes are coupled with any other data change request it proposes a problem. If the EDC change is put in and the paperwork is not received and processed by Student Employment or Medical Center Payroll in a timely manner then there may be issues with your budget.

It is advisable to make all and any changes affecting your student employees on paper PAF/Turnarounds. Need a PAF to make those changes? Go to http://hr.vanderbilt.edu/forms/form/PAF%20federal.pdf.

>> I-9 Processing

If your student employee has worked at Vanderbilt within the past three years, then they are NOT required to complete a new I-9.

Go Paperless:

Student Employment is encouraging all hiring departments to move away from the paper form and use I-9 Express.

  1. Step 1: Have your new hire enter their information, from any computer, into I-9 Express. They should navigate to www.newi9.com.
  2. Step 2: Your student should enter Vanderbilt into the Employer Name field.
  3. Step 3: Have your student report to any of the 4 Verification Sites on campus. They must take their verification documents to the site.

Use Paper:

The Department of Homeland Security has changed the required I-9 form and the documents that may be used for employment verification. If you chose to use the paper form, be sure you have the correct version. There are now four boxes in the citizenship area for the student to check. It can be found online at http://hr.vanderbilt.edu/toolbox/documents/I9Update.4.02.09pdf.pdf.

>> Hiring Students in the Summer

All continuing Vanderbilt students should be hired into student job codes for the summer. This is true even if the student is not enrolled during the summer. If you are unsure if the student is considered “continuing” please call Student Employment (3-4562). We can verify that for you.

If the student is from another university or has graduated from Vanderbilt, then you must hire them through Vanderbilt Temporary Service. For more information on VTS visit http://hr.vanderbilt.edu/hrdepts/managersguide.htm.

The students are logging on daily to view available jobs. However, the bank is empty. You can begin posting your fall positions now. Students can then contact you early and set up interviews. You can also search for students to fill your positions. Students can upload their resumes and give access to employers to view and contact them directly.
