Student Employment is offering training for the VU and MC hiring departments. The workshop is for those who initiate student hires, process timesheets, and supervise student workers. Student Employment is providing a hiring guidebook, sweet tea, and cookies! Choose a date:

FWS Job Fair - Save the Date
The FWS Job Fair is Tuesday, August 21st ! The fair will be held from 11:30 am – 2:30 pm . Attending department personnel should plan to arrive and be set up prior to 11:15 am. The Job Fair is open to only students who have received Federal Work Study as part of their need-based financial aid package. If your department would like to attend, the deadline for a reservation is August 10th. Reservation forms can be emailed to you or you can print one from the Student Employment Website.
FWS 70% - Department 30%
The 2012-13 Federal Work Study allocation from the US Department of Education has been decreased. The cost share/split has been changed to accommodate as many FWS eligible students who would like to work as well as the increase in departments utilizing the FWS funded students to reduce their budget strain. The FWS program will supplement 70% of the student’s wages and the department will be responsible for 30%. Once the student has exhausted their FWS award, a position change will automatically occur and the department will be responsible for 100%. The department and student will be notified by Student Employment.
FWS Action Forms - August 2012
The students will be returning to campus next month and hires and rehires will start taking place! FWS Action Forms (formerly called contracts) have been revised to mirror the PAF as much as possible. The FWS/AF will be emailed/mailed directly to the department this year. We are asking you not to send your student to the Job Fair or to Student Employment to pick up their FWS/AF. Departments should call us (3-4562) or email (StudentEmployment@vanderbilt.edu) to request their student’s paperwork!
Start dates for FWS : FWS effective date is 8/19/12 for University bi-weekly (UBA), 8/26/12 for Medical bi-weekly (MBB), and 9/1/12 for all monthly paid (UM1/MM1). If a prior date is written on the Action Form then the student will be hired as an Institutional Employee (IE) and switched (Job code/Position change done) on the appropriate date. Please adhere to ALL paperwork deadlines. Those deadlines may be found on our website.
Timesheet Processing - electronic or paper
e-Timesheets – If you do not see your student employee listed on your e-Timesheet list, then assume the paperwork was entered after the first day of the PPE. Your student will need to complete a paper timesheet for the first pay weeks of hire. Submit the paper timesheet to Student Employment. You may need to add supervisors who oversee student employees as authorized to sign timesheets. To do this you need submit the Signature Authorization Delegation for University Central Form .
I-9 Changes (again!)
Vanderbilt has changed the I-9 e-Verify vendor. As a result the online I-9 Express is no longer valid. Employers are asked to send the student's name and student's email address to I9@vanderbilt.edu. Then ask your student report to one of the I-9 Document Verification Sites where they show their accepted documents .

Student Employment receives calls and emails everyday from students looking for employment on campus. Our office refers all students to www.HireADore.com . All Vanderbilt students (undergraduate, graduate and professional) have search access to this job bank. Department personnel have access to this site to search for student employees.
