Getting Paid


Students employed by Vanderbilt University (using either FWS or Institutional funding) are paid on the UBA or UM1 pay cycles. Students employed by the Vanderbilt Medical Center (using FWS funding) follow the UBA pay cycle. All UBA pay cycles require a Brown-back timesheet.

Students employed by the Vanderbilt Medical Center (Institutional funding) use a Green-back timesheet and follow the MBB pay cycle. See the Payroll Calendar for details/dates.

Payroll disbursements to student employees may be made as follows:

  • A direct deposit to the employee's financial institution
  • A direct deposit to The Vanderbilt Paycard
  • A "live" paycheck

Direct Deposit

Students can enroll in the Direct Deposit option by logging onto C2HR. Students do not need to have a bank account in Nashville. Paychecks may be deposited directly into their home bank account. If students are unable to set up Direct Deposit via C2HR then they may complete the paper Paycheck Distribution Form and return it to the Student Employment Office. Students are encouraged to use C2HR to review their current pay information such as earnings, taxes, deductions, bank account/s and the "net" amount that has been deposited. A paper direct deposit advice document is also provided. If you do not wish to receive the paper version of your Direct Deposit Advice, simply send an email to workstudy@vanderbilt.edu with the message: Please stop printing my direct deposit advice! Please include your employee ID number in the mail. (Your ID number is the seven digit number that appears in the top center section of your direct deposit advice.)

Vanderbilt Paycard

The Vanderbilt Paycard is a debit card. You can access your cash quickly or use your debit card for purchases at thousands of area merchants. For more information and to enroll in this program, visit the HR Toolbox Paycard link.

Paper Checks

"Live" paychecks may be cashed or deposited up to 60 days from the pay date as shown on the check. After 60 days, the checks become "stale" and a replacement check must be issued. Student paychecks may be picked up at their designated work site or choose to have them mailed. Check or pay advices not picked up after a pay period has passed will be put into the mail. They will be mailed to the address that was provided on the W-4, which is the permanent address used for student employees.
