BANNER RESERVATION GUIDELINES August 31, 2011-June 1, 2012

For the Commons Center Atrium

The Commons Center reserves use of its facilities based on priorities for First-year Residents, Faculty Heads of House, The Dean of the Ingram Commons Staff, Registered Student Organizations, and University Partners seeking to contribute to the mission of The Ingram Commons.

Reserving a space for a Banner:

Designated areas within the Commons Center Atrium have been made available for banner reservations. Reservations must be made through the Commons Center Information Desk. Reservations can be made up to 4 weeks in advance by visiting or contacting the Commons Center Information Desk at 615-343-9988.

Scheduling will apply as follows:
The Ingram Commons community, Registered Student Organizations, and University Partners will be the only groups allowed to hang banners.

Registered Student Organizations & University Partners can have no more than 1 banner hanging at a time to represent their organization or organization activity.

  1. Horizontal banners must measure no more than 6×4 and vertical banners must measure 4×6.
  2. The 2nd Floor Atrium portion will be divided in 2 halves. Half for The Ingram Commons and the other half for registered Student Organizations or University Partners.

  3. Reservations can be made up to 4 weeks in advance of the event date.
  4. Banners can only be hung for 5 days within one calendar month’s period.
  5. The Commons Center Management reserves the right to take down any banners or refuse banners that contain information that promote activities that are deemed inappropriate. Those groups can lose all banner privileges.
  6. Banners must contain appropriate language and graphics.
  7. Exceptions can be made by The Office of The Dean of The Ingram Commons.

In case of a cancellation, 24 hour (one business day) notice is expected. Cancellations should be sent via email to Assistant Director Kenny Moore at kenny.moore@vanderbilt.edu.
Banners will be hung by Commons Center Staff.
Commons Center Staff will remove banners. Groups have 48 hours (two business days) to pick their banner up or the banner will be recycled or trashed, whatever is appropriate. The Commons Center will not store banners.

There are no fees for banner reservations.
Charges can be incurred if Commons Center property or equipment becomes damaged as a result of organizations not following the posting and removal policies as stated in this document.
