HIRING POLICIES

Student Centers are an equal opportunity employer providing jobs to students. Alumni Hall, Sarratt Student Center|Rand Hall, Student Life Center, Kissam Center, and the Commons Center participate in both the Federal Work Study (FWS) and the Institutional Employment (IE) programs. Continued employment for each individual Student Center is not guaranteed from one semester to the next, but will be contingent on outstanding work performance.

QUALIFICATIONS FOR EMPLOYMENT
  • Applicants must be a full-time undergraduate or graduate student at Vanderbilt University.
  • Applicants must be in good academic standing with Vanderbilt University and maintain a  cumulative GPA of 2.5 or above during the term of their employment.
  • Applicants must have basic knowledge of the Student Center Facilities & Vanderbilt University.
  • Applicants having previous customer service, cash register, and money handling experience is a plus.
JOB DESCRIPTIONS
Centers Associate

Service

  • Furnish customers with outstanding service by remaining alert and responsive to their requests. Customer service is the highest priority.
  • Ensure information desk areas remains clean and organized.
  • Provide information about the campus, its academic and non-academic functions and the community in general.
  • Maintain a working knowledge of each of the four Student Centers and the Vanderbilt University community.
  • Provide information about the surrounding community including but not limited to dining options, hotels, tourist attractions, cab companies, etc.
  • Direct visitors to the proper offices situated within the respective Student Centers.
  • Monitor organizational key disbursement through the collection of the proper ID and the sign in/sign out procedures.
  • Handle phone calls in a professional manner which includes taking messages and forwarding calls to proper staff members.
  • Trained on basic ticketing and mobile microcs functions to assist with Box Office sales as needed

Operations

  • Perform all prescribed set-ups for events within the facilities (i.e. moving tables, chairs, staging, etc)
  • Learn various room set-ups and configurations
  • Regularly inspect the building premises (outside and inside)
  • Be able to open building and secure it at closing.
  • Handle requests for temporary changes to event schedule and last minute needs.
  • Handle security and maintenance issues.
  • Set-up and test basic A/V equipment for events (when applicable).
  • Assist in maintaining the general appearance of the facilities

Event Management

  • Resolve problems and answer inquiries concerning an event
  • Enforce and abide by all policies and procedures as they relate to the Student Centers and the University.
  • Oversee events in the Student Centers and insure compliance with Student Center regulations.
  • Inspect and maintain meeting rooms (prior to and at conclusion of all events).

General

  • Maintain a neat and clean work area.
  • Follow Student Center dress code regulations.
  • Conduct one’s self in a professional manner.
  • Attend regularly scheduled meetings.


Reservations Associate

Service

  • Help book meeting rooms and handle equipment check out.
  • Provide information about the campus, its academic and non-academic functions and the community in general.
  • Maintain a working knowledge of each of the Student Centers and the Vanderbilt University community.
  • Direct visitors to the proper offices situated within the respective Student Centers.
  • Enforce and abide by all policies and procedures as they relate to the Student Centers and the University.
  • Handle phone calls in a professional manner which includes taking messages and forwarding calls to proper staff members.
  • Assist Student Center staff with additional requests as they arise.
  • Must be service-oriented.
  • Must be able to follow supervisor’s directives.

General

  • Maintain a neat and clean work area.
  • Follow Student Center dress code regulations.
  • Conduct one’s self in a professional manner.
  • Attend regularly scheduled meetings.
Box Office Associate

Service

Ticketing

  • Maintain working knowledge of ticketed events available at the desk, and/or know how to look up this information.
  • Responsible for all transactions done under employee’s register log in. This includes obtaining signatures for credit transactions and maintaining an accurate drawer for cash transactions.
  • Follow procedures as it relates to movie ticket sales and taking payment before any tickets are printed through Ticketmaster.
  • Responsible for reconciling mid-day and end of day reports with accuracy.
  • Provide on-site ticketing as needed utilizing on-site procedures and the mobile micros
  • Keep adequate supply inventory of ticketing information.

General

  • Follow Student Center dress code regulations.
  • Conduct one’s self in a professional manner.
  • Attend regularly scheduled meetings.
Commons Center Team Member
  • Disseminate information promptly/accurately about Vanderbilt University and the surrounding community.
  • Working knowledge of campus activities and other campus facilities.
  • Proficient knowledge of the Commons Center (Building, Staff, Departments-Academic Advising, Post Office, Dining, Housekeeping) and other student centers
  • Ensure all information is accurate and up-to-date.
  • Distribute and monitor all recreation equipment (indoor/outdoor).
  • Enforce Commons Center and University Policies. Monitor all building Activities.
  • Maintain a neat/clean work area. Maintain neat/clean Building (indoor/outdoor) premises.
  • Exemplify Environmental Standards through action, education and communication.
  • Professionally handle all phone calls. Report to the designate supervisor/s.
  • Keep all building supplies inventory accurate and orderly.
  • Carry out all Commons Center policies and procedures including but not limited to the Opening and Closing Procedures.
  • Complete BM/Closing Reports. Maintain equipment and furnishings (furniture, etc) of the Commons Center.
  • Handle all maintenance issues.
  • Enforce Federal and State Laws. Carry out building emergency plans.
  • Have working knowledge of tornado evacuation plans, fire evacuation plans, medical and other security needs as apply.
  • Coordinate with other Departments in Building, Plant Operations, and VPD. Anticipate, Prepare, and Monitor emergency situations by using television, internet, weather radio, etc.
  • Attend all scheduled meetings and events.
  • Conduct yourself professionally and learn to work with other students of diversity.
  • Oversee, manage, and enforce compliance with all Commons Center, Seminar Classroom, and Outdoor Commons Lawn events.
  • Inspect and maintain meeting rooms (prior to and at the conclusion of each event).
  • Be attentive to client needs.
  • Maintain the cleanliness of all reservable rooms/spaces.
  • Setup A/V equipment, remove A/V equipment, maintain A/V equipment, working knowledge of how to use A/V equipment, keep all A/V equipment secure, and ensure all A/V equipment is tested and in working condition.
  • Check event manual to ensure daily event operations are met.
  • Be able to perform all set-ups and tear downs.
