THIRD PARTY BILLING
If a third party (i.e. outside agency, corporation or State Prepaid Tuition Plan) will be paying all or part of your tuition and fees, and the third party requires a bill or invoice to be mailed directly from the Office of Student Accounts, a written authorization must be received from the third party thirty days prior to the beginning of classes. The authorization letter must be submitted to Tracy Donnell, c/o Office of Student Accounts, 110 21 st Avenue South, Suite 100, Nashville, TN 37203 or by fax at 615-343-8511.
The authorization must be printed on company letterhead and must contain the following:
- Name of the student
- Student’s Vanderbilt account number
- Beginning and end date of sponsorship
- Type of fees covered (tuition, health insurance, housing, dining, etc.)
- Sponsor’s billing address
- Signature of authorized official
Please note: The University also requires a Financial Information Release Form completed by each student requiring Third Party Billing. This authorization form may be found online at www.vanderbilt.edu/stuaccts/forms.html.
The sponsor’s letter must also state that Vanderbilt University will be paid directly. Payments are not to be sent to the student.
Once the sponsor’s letter is received, a credit with the description “Third Party Billing” and the amount the sponsor has indicated will be applied to the student’s account. An invoice for this amount will be sent to the sponsor after the beginning of classes each semester.
If, for any reason, the sponsor does not pay the invoice, the student will be liable for full payment of all charges incurred.
To prevent complications with registration and/or graduation, please check with Tracy Donnell ( Baker Building, Suite 100, or 615-322-6694) in the Office of Student Accounts to ensure that all invoices billed to your sponsor have been paid in full.
Examples of Third Party Payment Sponsors at Vanderbilt University:
Foreign Governments, State Prepaid Tuition Plans, U.S. Navy, Department of Health and Human Services, Coca-Cola Company, General Motors Corporation, Home Depot Intel.
*******IMPORTANT CHANGE IN STATE PREPAID TUITION PLANS*******
There has been a change in Federal law governing how State Prepaid Tuition Plans affect other types of financial aid. The funds disbursed in a given year will no longer be a part of a student’s financial aid award, but instead the overall value of the prepaid account will be included as a parent asset on the FAFSA application. Therefore, the Office of Student Financial Aid no longer will be including this information on the financial aid award letter. However, in order to establish a Third Party Billing account your state agency must send above information/payment to Vanderbilt in your behalf to Tracy Donnell, c/o Office of Student Accounts, 110 21 st Avenue South, Suite 100, Nashville, TN 37203 . |
