Contracts Status Information now available in PEER & StarBRITE

PIs and administrators can now view GCM contract status information in PEER & StarBRITE. 

StarBRITE provides summary-level information about your clinical research contract, as well as the status of negotiations, and provides linkages to other clinical information such as IRB applications, CRC data, etc. 

PEER provides more detailed contract information for all GCM contracts, including negotiation status.

Important Changes in GCM Process

GCM budget approval has now gone electronic!  We have developed a new process with the Department of Finance to scan and send electronic copies of your approved 1275 budgets.  What does this mean for you?  GCM will now require only one (1) copy of the 1275 and the signed budget submission cover form.  Once approved by GCM, it will be emailed back to the Department and the Department of Finance, making this a much quicker and efficient process while saving trees and money.

Another great feature GCM has implemented is PEER.  This will now be your tool for checking the status of most documents received by GCM.  With the implementation of PEER, GCM (Janette Sagraves) will no longer email the administrator with status or return courier information.  Most of you are already using the PEER system.  If not, you may access PEER using the following link: https://www4.vanderbilt.edu/oor/gcm/portal/

Streamlined IACUC Approval Process

In our continuing efforts to streamline processes, GCM and the IACUC have teamed up to simplify the animal use approval process for grant mechanisms that do not require a separate protocol review under specific circumstances.  These mechanisms include Program Projects, Center Grants, and Salary-only Fellowships.  No additional animals or new procedures can be proposed through this streamlined process.  Two (2) new forms have been developed for this purpose.

A simplified Investigator Umbrella Assurance form replaces the IACUC umbrella review mechanism.  This form is to be used for 1) Program Project Grants, 2) Center Grants, 3) Core Grants, or 4) any single grant that corresponds to an approved protocol with a differing title.  By using this form, the Principal Investigator may link grant IACUC approvals by certifying that the IACUC approved protocol(s) listed on the form describe(s) the work being funded by the referenced grant.
 
The Fellowship or Trainee Assurance of IACUC Approval form is to be used for salary-only fellowships.  Both the Mentor and Fellow must sign this form to certify that all of the proposed work has been previously reviewed and approved by the IACUC, that the Fellow is familiar with the protocol and included on the protocol’s personnel list.  This same form can also be used in lieu of an umbrella protocol for training grant applications.
 
When applicable, each form should be submitted to the Office of Grants and Contracts Management along with the standard IACUC Certification Form to be sent to your funding agency.

September Coeus Rollout for All Grants

As most of you know, VUMC is transitioning to a fully electronic grant review, approval, and submission process.  Thus far, we have successfully submitted ~200 electronic applications via Coeus to grants.gov.  In moving forward in achieving this goal, GCM is excited to announce that beginning September 1, 2007, all grant applications (new, competing and progress reports) to be submitted to external sponsors should be developed in Coeus Premium. GCM has developed new training to support this shift:

  • Non-Grants.Gov Proposals in Coeus Premium
  • Ks, Ps, Ts and Other Mechanisms in Coeus Premium

These two sessions provide detailed hands-on instruction for this transition. The August Coeus Update will include education on the transition of progress reports to Coeus Premium.  Training is on-going and offered on a regular basis—some prerequisites apply to these training opportunities. GCM Launches PEER Information Portal for VUMC Faculty & Staff

With PEER, we are changing the way we do business (internally and externally) to improve our grant workflow and information management and offer better service to our customers.

For faculty, PEER is the new electronic route to submit your grant Conflict of Interest Disclosures and complements the Coeus system.

For departmental administrators, PEER will provide real time information about the status of grant documents, reviews, and approvals submitted to GCM.

In our office, PEER will be the online system for managing grant workflow.  It will allow us to know what grant documents have been received and appropriate due dates, what we’ve completed, and what’s next in line on the horizon.
 
Each registered faculty member and administrator will be able to access PEER using your VU Net ID and password. If you aren’t already registered, PEER will help you register.  And stayed tuned for future enhancements as we continue to improve the system.

Grants Administrators now have specific department assignments

In our ongoing efforts to streamline and improve customer service, GCM is pleased to announce a significant change in our business practice pertaining to grants administration.  Each medical center unit has been assigned a Grant Administrator to serve as an on-going resource and point of contact for all grant related issues.  This change will go into effect Monday, May 21, 2007.  View the list here.
