Vehicle Accident Reporting Procedures
If an accident occurs, read this in its entirety before proceeding…
All accidents and property damage must be immediately reported to local police. A police report must be filed in the jurisdiction in which the accident happened. The accident must also be reported to a faculty/staff advisor or supervisor. The Vanderbilt Automobile Accident report form must be filled out and turned in to the Dean of Students office that loaned the vehicle. Failure to report an accident or traffic violation to faculty/staff supervisor within 24 hours of the event will result in the termination of driving privileges through Vanderbilt University.
At the scene of an accident, REGARDLESS OF SEVERITY:
- If on or near campus, call Vanderbilt Police and Security to report the accident and for EMS services 322-2745.
- If away from campus, call 911 or Metro-Nashville 862-8600.
- Find and fill out the accident reporting kit located in the glove box (grey envelope). Obtain:
- The description, nature and extent of damage to other property or vehicles. This should include license number, make of car, body type, and driver’s addresses;
- Time, place, and date of accident;
- Name, address, and nature of injury to any persons injured in the accident;
- Names, addresses, and telephone numbers of witnesses;
- Pictures of all vehicles and scene of the accident.
- At no time admit liability, make any reimbursement, or admit fault in connection with any accident. To do so would jeopardize the insurance company’s position in protecting Vanderbilt’s and your interest and could potentially void the insurance policy.
- Provide the other party with insurance information contained in the vehicle, as well as your name, address, and phone number.
- Report the accident as soon as conveniently possible to the organization’s faculty/staff advisor, the driver’s departmental supervisor, or the Dean of Student’s office that loaned the vehicle.

- Prior to departure obtain an emergency contact number from faculty/staff advisor.
- Complete the Vanderbilt Auto Accident Report from provided in the vehicle and turn it into the organization’s faculty/staff advisor or the driver’s department supervisor. Faculty/staff advisor or the driver’s departmental supervisor will forward a copy to Risk Management.
