Campus Mail

Vanderbilt Mail Services delivers campus and U.S. mail in the Vanderbilt community area. To assist you mail in being delivered in the fastest manner possible, it should be addressed as follows:

For mailbox delivery:

Presently, the Medical Center Mailroom does not use box numbers. Sometimes mail that does not include all the above information is delayed or results in the mail being returned to the sender.Campus mail is for any mail pertaining to Vanderbilt business. The campus mail service may not be used for political or personal correspondence.



CAMPUS MAIL POLICIES AND PROCEDURES

The goal of Campus Mail Service is to deliver all mail within a twenty-four (24) hour time frame. The following procedures should be followed:

  1. Campus mail should include name, department, building and room number, and box number. The University sorts by box numbers. Presently, the Medical Center Mailroom sorts by department name and location.
  2. Campus envelopes should be used for all mailing to Vanderbilt offices. The envelopes are available in a variety of sizes and may be purchased from purchasing, Box 7000, Station B.
  3. The orange and brown campus envelopes should be reused until all address spaces are filled. Address spaces should be used in numerical order. The gray envelops may also be used. Each department should establish a central location where the envelopes may be deposited for redistribution.
  4. The large campus envelopes should be sealed only in the case of confidential correspondence, and then only by tape. The small gray envelopes may be sealed with the adhesive flap.
  5. Large size campus envelopes should be used only for items that cannot be folded.
  6. White envelopes (first class envelopes) with printed departmental return addresses should not be used for campus mail.
  7. An advance notice of three to five (3 to 5) days is required for mass mailings.
  8. Fliers should be folded to letter size, no smaller than postcards and no larger than #10 size envelopes.
  9. For Station B quantities of twenty-five (25) or more pieces must be arranged by box number in numerical order.
  10. Each item must be properly addressed and should include a return address.
  11. Unaddressed notices, leaflets, or pamphlets and heavy packages are not distributed through campus mailboxes. Registered organizations may have this requirement wavered by discussing it with the supervisor of the post office.
