Move In Day--Saturday, August 25, 2007

Vanderbilt University would like to take this opportunity to welcome all incoming new students to campus. We are excited about your arrival and have planned to make the move-in process an efficient and enjoyable day!

Move-in is scheduled for Saturday, August 25, 2007. All new students will receive a housing assignment packet in early August with detailed instructions about the move-in process.

All new students will be assigned a designated move-in time in their housing assignment packets. In order to provide you an easy transition and enjoyable move-in experience, we ask that students and families please arrive at the staging areas at their designated time. **If you are participating in DoreWays or other university-sanctioned activities that involve early move-in, you will receive separate move-in instructions. Please refer to your DoreWays confirmation materials for specific move-in instructions.

BEFORE YOU ARRIVE ON CAMPUS

  • Please complete the key release authorization card/registration card in its entirety. The card must be exchanged on move-in day for the residence hall room key.
  • Please place the placard enclosed in your housing assignment packet, which is color-coded according to residence hall assignment, on your dashboard. This will enable officers to direct you to the proper areas.
  • Please pack appropriately. See the packing tips below.

ARRIVAL TO CAMPUS

  • When you arrive at the perimeter of the University, Vanderbilt University Police Department officers will direct you to your designated central staging areas. Please see the map enclosed in your housing packet.
  • Posted signs will also direct you to your staging area:
    • Stapleton and Vaughn buildings of Branscomb Quadrangle, 25th Avenue garage
    • Lupton and Scales buildings of Branscomb Quadrangle, Lot 75 on Natchez Trace
    • Kissam Quadrangle (Kissam, Dyer, Mims, Reinke, Currey, and Hemingway), Lot 74 on Natchez Trace
    • Vanderbilt and Barnard Halls, Lot 74 on Natchez Trace
    • Carmichael Towers, CT East
    • Parking lots adjacent to the first year buildings will be closed until the move-in process begins on the designated move-in day.

IN THE STAGING AREA

  • Residence Life staff members will meet incoming students in the staging areas to issue residence hall room keys.
  • The key-release authorization card/registration card should be completed in its entirety and handed to the Residence Life staff member in exchange for the student’s room key.
  • If the student is not present to accept the key on Saturday morning, the student must sign the key-release authorization card permitting Residence Life staff to issue the key to his or her designee.
  • Vehicles may not leave the staging area until the student or designee has been issued the residence hall room key.
  • Staging areas will close at 11:30 a.m. Residence hall room keys will be available at the residence halls after 12:00 p.m., noon, move-in day.

MOVING IN

  • When your hall opens on Saturday morning at its specified time, Vanderbilt Police Officers will direct you from the staging area to an unloading area near your building.
  • VUceptors and Move Crew members in bright red shirts will be on hand to greet and assist you in moving your belongings from your vehicle.
  • A member of the student's family should remain with the belongings.
  • After the belongings have been unloaded from the vehicle, the driver must move the vehicle to the designated parking area.
  • Branscomb Quad and Carmichael Towers vehicles should be moved to the 25th Ave. garage.
  • Kissam Quad and Vanderbilt/Barnard Halls vehicles should be move to the Terrace Place garage in spaces 93 – 640.
  • All vehicles must be out of residence hall lots and University Club lots by 2:00 p.m.
  • The Move Crew members will assist you in moving your belongings to your room.

Important note to students:

  • You should accompany the Move Crew members on the first trip to the room to unlock the room.
  • You should remain in the room to receive your belongings.
  • Your Resident Adviser (RA) will be on the floor to answer questions.
  • You will be asked to sign a Room Condition Report (RCR) indicating that you have received a key to the room and that you agree with the recorded room condition.

PACKING SUGGESTIONS

To ensure a safe and secure move-in experience, please follow these guidelines:

  1. Mark all belongings (boxes and individual items) with your name, residence hall and room. number.
  2. Wrap all breakables in bubble wrap or other appropriate protective wrap and mark them "fragile."
  3. Pack and tape all boxes securely.
  4. Pack such that each container is a reasonable weight.
  5. If you have a roommate, check with him or her so that room items are not unnecessarily duplicated.

Our Move Crew volunteers are not responsible for broken items or lost boxes. If you follow the steps listed above it greatly reduces the chances of any accidents or misplaced items.

YOUR REQUIRED PROGRAMS BEGIN AT 4 PM TODAY.

Mandatory residence hall meetings begin at 4 PM. Resident Advisers (RAs) will direct you to the meeting location in your residence hall. You should be in your residence hall room by 3:30 PM. Following your residence hall meeting, your RA will lead you to meet your VUceptor and VUcept group. Your VUceptor will lead you through Founders Walk and to the Founders Walk picnic that follows.

Programming for parents and family members will begin at 3 pm. Look for a postcard in the mail which outlines events for parents and families in early August!

Help with Computer Set-Up

From 9 a.m.-4 p.m. on Saturday, August 25, ResNet Staff will be available in each of the freshmen areas to assist you with your ResNet configuration and software installation. Information tables will be set up in the freshmen residential areas. If you encounter problems configuring/securing your computer to use ResNet, go to the nearest information table and ask for assistance.

The Ethernet cable used to connect your computer to the wall port will be provided in freshmen rooms. This cable is yours to keep during your career at Vanderbilt. Video cables will not be provided. If you wish to connect your television to the campus cable television network, you will need to bring your own cable or purchase one at the Vanderbilt Bookstore.

VUcept

VUcept is a student organization which provides student leadership to the orientation program DoreSteps and the first-year university core program, Vanderbilt Visions. VUcept consists of a 10-member Executive Board and 100 VUceptors. Through DoreSteps, VUcept works to welcome first year students to the Vanderbilt community. In Vanderbilt Visions, VUceptors serve as peer mentors in small-groups that discuss the social and academic transitions first-year undergraduates must make to be successful at a Research University like Vanderbilt. Each VUceptor is paired with a faculty member (Faculty VUceptor) and together they co-facilitate a Vanderbilt Visions section of approximately 15 first year students.
