After a work related injury, what should I expect from OHC?
A ‘Return to Work” report will be given to each employee at the end of their clinic visit. This will describe any work restrictions or modifications necessary and the date for any follow up care. The employee should give you a copy of this form. When there are work restrictions you should receive an E-mail notification of the Return to Work Program.

How can I check an employee’s compliance status?
Compliance with TB, Measles, mumps, rubella, (MMR), varicella and Hepatitis B can be monitored at the MyVandy Web site. After you log in, select the report in MyVandy portal. Scroll down the first page of the report for instructions for managers. On the left side of the bookmark, select your department to view individual compliance.  A "Y' indicates that OHC has record that the person has fulfilled the requirements of the respective policy, and an "N" indicates that OHC has no record that the person has fulfilled the requirements of the policy.  "N/A" indicates that this program is not applicable to the faculty or staff member.  Overall departmental compliance percentage is listed at the last line of the report.

How do I schedule my employees for OSHA physical exams?
Call the Occupational Health Clinic (936-0955) for an appointment. Identify your department and the required OSHA exam. Initial exams for new employees should be scheduled as soon as the hiring process is final. Annual exams may be scheduled for all employees during a specified month. Contact the OSHA Program Manager at OHC (936-0955) for questions regarding the specific job titles that require an exam and/or the annual schedule.

Where do I get treatment for a sick employee?
People may become ill while at their work place from a non-work related condition. All illness not triggered (caused) by work place conditions, are best evaluated and treated by the employee’s primary care provider. When the illness is due to a chronic or known health condition, the employee should be treated by their primary care provider, an acute care facility or other provider, such as a dentist, as indicated by the illness. In case of life threatening symptoms, the employee should be directed to an emergency department. All other sick employees should be directed to call for an appointment at a primary care facility. Options include their own PCP, the Vanderbilt Acute Care Clinic, community clinics (Vine Hill Clinic, Meharry Medical Surgical Clinic)

Note: All illness or injury caused by a work place condition must be reported to Risk Management and the employee seen in OHC.

Should I send this sick employee to Occupational Health Clinic?
If you think the employee has one of the following conditions, ask the employee to don a surgical face mask and report to Occupational Health as soon as possible.

  1. Chicken Pox
  2. Whooping Cough (Pertussis)
  3. Measles
  4. Tuberculosis
  5. Pink Eye (mask not needed)

For any other non-occupational illnesses, the employee should first contact their primary care provider.  Occupational Health also offers walk-in care for minor, non-urgent illnesses such as colds through our Faculty/Staff Express Care service located on the 1st floor of the Medical Arts Building.  For more information about this service, including a list of conditions that can be seen in this clinic visit the Faculty/Staff Express Clinic Web site.

When an employee calls in sick, do I need a ‘doctor’s note’?
A medical authorization is not required for an employee to use sick time and will not impact attendance. See HR policies HR-026 and HR-029. If an employee is working under a collective bargaining agreement, the OHC can document that the employee was seen in the clinic.

What do I do when there is an infectious exposure?
As soon as a case of infectious disease is suspected, contact Infection Control. When the case is confirmed, assist IC to identify all contacts with the case. A list of the contacts with phone number and social security number should be sent to OHC as soon as possible. Expect OHC to contact all those exposed to evaluate for prophylactic treatment. Complete a First Report of Work Injury for each exposed employee.
Note: do not provide prophylaxis to employees who have not been evaluated by OHC practitioners.

Can my employees receive immunizations after hours?
Yes. OHC has a late night program. The nurses are available on the first Saturday night of the month 6 p.m.-10 p.m. and the third Wednesday night of the month 6 p.m.-10 p.m. They can be paged during these hours by calling 936-0955.
