Every student who participates in a GEO-sponsored abroad program must complete and submit the Release/Waiver form. If you have questions of objections to this policy, please contact the Global Education Office.

program withdrawal

If you must withdraw from your selected study abroad program after you have been accepted, you must do so by the stated withdrawal deadline given in your approval email, so to avoid any charges.



Here are the steps to take to withdraw from a study abroad program:



1) Inform the Global Education Office IN WRITING. This can be via email or by written letter.



2) If you DO NOT inform us in writing of your withdrawal, we will assume that you WILL participate in the program.  If you fail to notify our office of your withdrawal, you will be responsible for any funds paid out by the University on your behalf. 



3) If you withdraw from the program after the stated deadline given in your approval email, then your deposit cannot be refunded. 



4) If you do not receive an email confirmation about your withdrawal request, please assume that we have not received it.



5) Follow up wth the office to make sure your withdrawal is complete.



billing policies and procedures



1. Application Fee - A non-refundable $50 application fee must accompany each program application and be made payable to Vanderbilt University.  Check or money order only.  No cash or credit cards.



2. Program Deposit – Accepted or approved students are required to submit a deposit to secure their spot in their program. The amount ranges from $200 - $500, depending on the program. The deposit will be requested in the official approval or acceptance e-mail from the Global Education Office (GEO).  The deposit may be submitted to GEO by check or money order only, made payable to Vanderbilt University. No cash or credit cards are accepted.



PLEASE NOTE: Because this is a deposit, it will be credited to the student’s Vanderbilt account for the semester of study. If students withdraw from their program after the withdrawal deadline set by GEO, they will forfeit the deposit, and the credit will be removed from their student account.



3. Study Abroad Billing – maymester, summer and semester terms are all billed for tuition, and a study abroad program fee.





Maymester Billing

Vanderbilt students who participate in a GEO maymester program for direct credit will be billed for the following:

i. Vanderbilt Tuition for 3 credit hours

ii. Program fee (this covers housing and administrative costs abroad)



Summer Billing

Vanderbilt students who participate in a GEO summer program for direct credit will be billed for the following:

iii. Vanderbilt Tuition equivalent to summer hours of credit earned

iv. Program fee (this covers housing and administrative costs abroad)



Semester Billing

Vanderbilt students who participate in a GEO semester program for direct credit will be billed for the following:

v. Vanderbilt Tuition

vi. Program fee (this covers administrative costs abroad)

vii. Activity fee



Most semester programs include housing, the cost of which is included in the fees listed above.  Financial aid and most scholarships for semester study will be applied to the cost of the semester abroad.

Vanderbilt and GEO staff are precluded from giving out private information regarding students, including grades, student status, and health details, according to the Family Educational Rights and Privacy Act (FERPA).  Please see the U.S. Department of Education website for more information. All students are required to have international healthcare coverage for the duration of their study abroad program. Students are either enrolled through their program provider (i.e. IFSA-Butler) or through HTH Worldwide insurance. There is no opt-out option. For more information about HTH coverages, please visit their website.

Students who will be studying in France, Spain, and Italy on GEO-sponsored programs have the option of getting their student visa through our office. Please read and return the Visa Waiver Form if you would like the Global Education Office to help you get your student visa.
