Arrival

*All accommodations must be paid in full before check in. Payments can be paid by your internship sponsor, VU department or for personal payment options, please call or email the Office of Conferences. *

Check-in will be held either in the lobby of Lewis House. During move-in and unloading only, temporary parking will be available in the metered spaces inside the circular drive on 25th Avenue outside of Morgan House and the metered spaces in University Lot 24 behind Lewis House on 24th Avenue. Reserved parking passes are availble for $50.00 on a first come first serve basis.  These passes need to be paid for in advance and will be distributed at Check-In. Parking is never permitted in fire lanes, doing so will result in your vehicle being impounded.

Participants will need to make special arrangements with the Conference office if their schedule does not fit the arranged check-in/out dates and times. Please call 615.343.8699 at least one week prior to your arrival to schedule an alternative check-in/out time. There may be additional fees charged for special arrangements.

Intern Housing Check In:

The Lewis Morgan Apartments  are located off of 25th Avenue, across from The Student Recreation Center.

Check-In will be held on the first floor of Lewis House.

Staff members will be on duty to hand out room keys, parking passes & building access cards as follows:

  • Sunday, May 26: 10:00 AM – 8:00 PM
  • Monday, May 27 (Memorial Day): 10:00 AM – 8:00 PM
  • Tuesday, May 28: 10:00 AM – 8:00 PM
  • Saturday, June 1: 10:00 AM – 4:00 PM
  • Sunday, June 2: 10:00 AM – 8:00 PM
  • Sunday, June 8: 10:00 AM –  4:00 PM

Departure

*So that we can care for all of our guests in a timely manner, adherence to the check-in/check-out schdule is requested.*

Check-out will be held in the lobby of Lewis House.  All students must check-out of their apartments by 12 p.m!
Participants must check out by returning their apartment keys and magnetic keycards and relinquishing access to their spaces on their scheduled departure date in order to avoid additional charges.

Do NOT check out until you have completely moved out of your apartment, cleaned it and removed all trash. If you return your apartment keys and magnetic access cards before completing your move out, you may be charged an improper check out fee and/or for the additional night(s) you or your items remain in the apartment. A staff member will perform a check out inspection shortly after you check out, even if other residents occupy the rest of the apartment.

Any items left in the apartment will be discarded. It is important to leave the apartment in the condition you received it. Please ensure you clean your bedroom and any common areas you used, including the bathroom. Vacuums are available to check-out at the Lewis reception desk.

Intern Housing Check Out:

Check-Out will occur in Lewis House, either at or directly behind the Lewis Reception Desk in the Lewis Reading Room.

  • Monday – Friday, each day: 4:00 PM – 8:00 PM
  • Saturday, August 3: 8:00 AM – 12:00 PM

All Residents must be checked-out by Saturday, August 3rd by 12 PM!
