Eligibility & Application
1. Who is eligible for intern housing?
This special housing option has been designed to accommodate students working directly with Vanderbilt departments as well as organizations offering learning opportunities in Nashville’s business and non-profit community. Accommodations are available for Vanderbilt and Non-Vanderbilt researchers, interns and students working on special projects.

2. What dates do you provide intern housing?
We are only able to offer intern housing during the summer. Enrolled students occupy these spaces during fall and spring semesters.

3. When can I check-in? When must I check-out?
Check-in will be held in the lobby of Lewis House. During move-in and move-out only, temporary parking will be available in the metered spaces inside the circular drive on 25th Avenue outside of Morgan House and the metered spaces in University Lot 24 behind Lewis House on 24th Avenue. Parking is available for the summer for a nominal fee as assigned. All parking regulations will apply. Please inquire with our office if you have specific questions. Parking is never permitted in fire lanes, doing so will result in your vehicle being impounded.
*Due to limited resources, adherence to the check-in/check-out schedule is requested.
Participants will need to make special arrangements with the Office of Conferences if their schedule does not fit the arranged check-in/out dates and times. Please call 615.343.8699 at least one week prior to your arrival to schedule an alternative check-in/out time. There may be additional fees charged for special arrangements.
Check-out will be held in the lobby of Lewis House. All students must check-out of their apartments by 12 PM.
Participants must check out by returning their apartment keys and magnetic keycards and relinquishing access to their spaces on their scheduled departure date in order to avoid additional charges.
Do NOT check out until you have completely moved out of your apartment, cleaned it and removed all trash. If you return your apartment keys and magnetic access cards before completing your move out, you may be charged an improper check out fee and/or for the additional night(s) you or your items remain in the apartment. A staff member will perform a check out inspection shortly after you check out, even if other residents occupy the rest of the apartment.
Any items left in the apartment will be discarded. It is important to leave the apartment in the condition you received it. Please ensure you clean your bedroom and any common areas you used, including the bathroom. Vacuums are available to check-out at the Lewis reception desk.

4. Is there a minimum night stay requirement?
We suggest a minimum of thirty nights, this way you will not be charged the Metro City Tax or accommodation tax. If you are unable to stay for thirty nights, you may contact our office at 615.343.8699 to receive special permission to apply.

Payment Information
7. I represent an organization that would like to house multiple interns. How do I reserve spaces for them?
We will be happy to arrange this for you. Simply complete an application and let us know if you have questions.

8. How much does it cost?
Shared apartments - Private single rooms in a shared apartment are $38 per night, with double occupancy rooms only $28 per night per person. These rates do not include sales tax, Metro City tax and mandatory Davidson County Accomodation tax.
Traditional Dorm Room - Single occupancy in a dorm room is $35 per night and double occupancy in the dorm room is $25 per night, per person. These rates do not include sales tax, Metro City Tax and mandatory Davidson County Accomodation tax.

9. Is a deposit required?
$250 non-refundable deposit per participant is due with your application. This deposit reserves your space.

10. When is my payment due?
Payment in full is required 15 days prior to check in. Any additional charges that may incur will be billed to you after your stay.

11. Can I change my dates or cancel my application?
Please contact the Office of Conferences at 615.343.8699 if you need to change your dates or cancel your application. Most date changes can be accommodated. Cancellations can be made without penalty up to 30 days prior to your scheduled arrival date on campus. All refunds will be reduced by $250, which serves as the mandatory deposit. Refunds will not be issued at all 9 days or less from your scheduled check out. [ Top ]
12. What if I arrive after-hours?
Arrivals outside regular business hours can be scheduled in advance by calling the Office of Conferences at 615.343.8699 approximately one week. If you require an emergency check-in after our office hours, please contact the office with as much notice as possible, at 615.343.8699. A staff member will meet you at the Lewis reception desk to assist you.

13. What do I need to bring to check-in?
You will need to bring a photo ID and a copy of your confirmation letter from our office.

The Apartments
14. What are the apartments equipped with?
Each apartment is furnished with two single bunkable beds in the larger bedroom and a single bed in the smaller bedroom, three chests, three desks, three desk chairs, one lounge chair, one love seat, one dining table, two dining chairs, one lamp table, and one coffee table. Lamps are provided for the living room. You may want to bring a study lamp with you. University furniture may not be removed from the apartment.
All rooms are clean, furnished and air conditioned. All modern amenities and utilities are included in the daily rate: a bedroom in a completely furnished bedroom, with laundry facilities on site, study space, cable TV hook-ups, high-speed wireless internet & Ethernet access.

15. What other amenities are included in the apartment?
Amenities include:
- 24/7 information desk and emergency response staff
- 24/7 automatically locking exterior doors with magnetic card access
- On-site parking – see Parking section
- Access to 7 libraries on the campus for summer
- Access to Student Recreation Center for summer
- Elevators
- Laundry facilities on site
- Utilities (including water, electricity, and air conditioning)
- High-speed Ethernet access
- Custodial service in bathrooms and corridors
- Free wireless and hard-wired internet access
- Free university cable television service
- Summer membership at the Student Recreation Center
- Maintenance service, including emergency maintenance services
- Free university telephone service (local calls only, participant will supply phone)
- Carpeted corridors
- Vertical blinds
- Central air-conditioning
- Ceramic tile baths with tub/shower

16. What do I need to bring?
Many of our participants bring the following comforts of home:
- Regular fitted twin sheets, pillow case, pillow and blanket
- Bath towels and bathrobe, shower slippers
- Rain gear and an umbrella
- Personal toiletries, including soap and shampoo
- A small reading lamp for your desk
- An alarm clock
- Clothes hangers for the closet
- A portable iron
- Comfortable shoes or sneakers
- Bottled water and snacks
- Pots, pans, dishes, glasses, silverware, etc. if you would like to cook
- A small TV, radio and laptop computer
- Coffeemaker
- Your own phone if you want to use the landline phone

17. Are there items I am not allowed to bring?
You must adhere to all Federal, State and Local laws while on campus. Additionally the following items are not allowed:
- Hot plates, popcorn poppers, toaster ovens, grills (Foreman or similar) or any appliance with exposed heating elements
- Fryers
- Candles
- Kerosene lanterns or heaters
- Pets (except fish)
- Other similar items
- Powerful sound systems or stereos (a personal-size system with headphones is fine)
- Wireless access points (routers, AirPorts, etc.)
- Waterbeds or mattresses (University mattresses and boxsprings may not be removed)
- Halogen lamps
- Fireworks
- Firearms and other weapons
- Dartboards
- Concrete blocks or bricks

18. What resources are available near campus?
The campus offers the convenience of a cozy residential community, in close proximity to the amenities of a large city. Nearby businesses or attractions within walking distance include:
- Apple Market grocery store
- Starbucks and independent coffee shops
- Several chain and local restaurants, including pizza shops, grills, delis, and pubs
- Mexican, Indian, Chinese and other international cuisines are also available nearby
- Tanning, hair, and nail salons
- Tailor, dry cleaners and package laundry services
- Campus Bookstores, and independent bookstores
- CVS/Pharmacy with Minute Clinic, Rite-Aid
- FedEx/Kinko’s and UPS Stores
- Belcourt Theatre
- Centennial Park, home of Tennessee’s 1897 Centennial Exposition
- Houses of Worship
- Vanderbilt University and Children’s Hospitals

Roommates
19. Will I have a roommate?
All housing options have two beds in each bedroom. The bedrooms can be utilized as a single and a double or two singles. Double participants can request a specific roommate. If you do not request a roommate and will be living in a double occupancy, the Office of Conferences reserves the right to assign one to you.

20. Can I request roommates?
Yes, you can request to be housed with other people you know. All requests must be mutual.

21. Are the apartments cleaned by housekeeping during my stay?
Yes, our custodial staff will clean the common hallways and your apartment bathroom once a week. We encourage you to bring basic cleaning supplies with you.

22. Are there laundry facilities?
Yes, there are coin-operated laundry facilities on site. You may wish to bring an extra supply of quarters.

Parking & Transportation
23. Where do I park?
Intern Housing participants will be assigned parking areas by the Office of Conferences. Parking hang-tags are $50.00 per summer and are on a first come first serve basis. All parking hang tags must be paid for in advance and will be available at check-in. They must be displayed at all times while parked on campus. Use of University parking lots constitute acceptance of the guidelines of Office of Traffic & Parking.

24. Does Nashville have public transportation?
Yes, the Nashville Metropolitan Transit Authority offers bus service around the city, with pick-up and drop-off around the perimeter of campus. Lockouts & Maintenance
25. What do I do if I lock myself out of my apartment?
Please call the Office of Conferences at 615.343.8699, a staff member will meet you at the Lewis reception desk to provide a loaner key. The Conference Coordinator will then wait for you to return with the loaner key within 5 minutes. If your key is lost, the lock and keys must be replaced, for lost keys, please see #26 below. Please be prepared to show proof of identification for assistance with lockouts.

26. What do I do if I lose my keys or my building access card?
Please report your lost apartment lost key and/or magnetic building access card by calling our 24-hour emergency line at 615.343.8699. A Conference Coordinator will be able to give you a temporary key. If the key is not returned right away, the staff member will arrange for the lock to be replaced. For security reasons, once a key is reported lost we will automatically change the lock which will require you (and your roommates) to get new keys. A fee of $50 will accompany replacement of the lock and keys. Please be prepared to show proof of identification for assistance with lost keys.

27. How do I report a maintenance problem?
All participants should place non-emergency maintenance requests through our on-line system. The system is available at https://apphost2.its.vanderbilt.edu/housing/Facilities/Main/Request.cfm Should you have an emergency maintenance request, please contact the Conference Coordinator on duty at 615.343.8699 for immediate assistance.

28. Can I receive mail?
Not on campus. Unfortunately, all University mailboxes are assigned to enrolled students and offices. If you are interested in receiving mail we encourage you to obtain a PO Box from the Acklen Post Office, the local FedEx Kinko’s or one of the UPS Stores located near campus.

29. Can I purchase a meal plan?
No, meal plans are not currently available for purchase for participants of the Summer Intern Housing. You are free to utilize other dining outlets, when they are open, using cash or credit/debit cards. Some options available on campus in the summer include:

- Au Bon Pain (inside Medical Center)
- Courtyard Café (inside Medical Center)
- Subway (inside Children’s Hospital)
- Taco Bell (inside Children’s Hospital)
- Ben & Jerry’s (inside Children’s Hospital)
