Disclosure Code Information

Job Candidates have difficulty locating interviewers at the ASSA meetings. Interviewers do not know their room numbers prior to check-in and thus cannot tell candidates in advance. For security reasons, hotels do not provide room numbers of individuals. Thus, job candidates have to call the person interviewing them, often interrupting an interview in progress.

In the past we have maintained a “Disclosure Code Table” to disseminate the room numbers. This year in addition to the “Disclosure Code Table” we are going to assign disclosure codes and disseminate the information electronically. Hopefully this process will make it much easier for the employer to receive the disclosure code, input hotel information and for the job candidate to find the interview they have scheduled.

To use this service READ THROUGH ALL THE INSTRUCTIONS CAREFULLY!!

In order for an employer to use this service you must:

1) Click on DISCLOSURE CODE APPLICATION and fill out a short application and your disclosure code will be assigned electronically (you must have a different disclosure code for each interview room). Print the form with the username and password and give to the person who will be onsite so they will be able to make updates online or they can bring this form to the “Disclosure Code Table” with the hotel and room information filled out.

2) As you confirm interview times with the job candidates inform them of this service and be sure they have your disclosure code.

3) Once the employer/interviewer is onsite and checks into the hotel, he/she needs to log into this website again, click on UPDATE EMPLOYER INFORMATION to add your onsite contact, hotel and room number. You must have the username and password in order to get in and make the updates. If you do not add the hotel and room number, your job candidates WILL NOT be able to find you. If you do not have internet access, you may still bring the information to us at the “Disclosure Code Tables” in either

and we will enter it into the system so your interviewers can obtain it electronically.

4) You need to inform the job candidates that when they arrive at the meetings they can log onto this website, click on JOB CANDIDATE INFORMATION, and look at their code to find the hotel and room number. They do not have to go to the hotels where the “Disclosure Code Tables” are located. However, they will still be able to get the information there if they do not have internet access. They can obtain the hotel and room number only after your interviewer has entered it, so please enter the information as soon as it is known.

The “Disclosure Code Tables“ will be located in both the

The tables will operate from 7:30 AM until 8:00 PM on January 3rd, and from 8:00 AM until 4:00 PM on January 4th. The person working will be there to answer questions and look up information for those without a computer or internet access.

If you have any questions regarding this process, please call (615) 322-3726 or email me at gwyn.p.loftis@vanderbilt.edu.
